As the welcoming face of our furry haven, you’ll be responsible for greeting both two-legged and four-legged visitors with warmth and enthusiasm. From scheduling appointments to answering phone calls and emails, your organizational skills will keep our kennel running like a well-oiled machine. Responsibilities
- Admins control the flow of the day with the schedule. Knowing which dogs can kennel, which dogs can only be in open room, which dogs can only be in zen dens, etc. Admins make sure the schedule flows well to set the rest of the team up for success. If reservations don’t get scheduled, even one unexpected dog can throw the whole day off.
- Admins answer phone calls, respond to texts and emails, and greet clients as they come into the facility. Admins are the first person clients see when they walk into the facility, so you must be presentable, warm, friendly, and professional. Calls should always be answered immediately, or responded to once a previous call is finished. Emails needs to be responded to within an hour. Texts should be responded to immediately.
- Making sure the front is fully stocked at all times makes it so clients are more willing to buy retail. When we are running low on something, inform management so we can reorder products.
- Every weekday morning, the manager on duty will fill out the groups for the day on the board and post a photo to the Slack channel titled Report Card List & White Boards. When the manager does that, the admin is to copy the groups from that and write them down on the report card list. Double check that every dog on the schedule for that day is on the report card list. Only daycare dogs get a report card, so it’s important to know what dogs are daycare and what dogs are boarding.
- Admins are handling all client transactions from checking dogs in and out, charging cards on file for reservations, and making sure all clients are charged appropriately. When things are not charged appropriately, this can have a big impact on the business and client relations.
- As an admin, one of the most important responsibilities is selling retail. Retail in a small business can be the difference between meeting our monthly goals or not. Every admin is to sell a minimum of $350 per day to reach these goals. Having a discussion with every client about what food their dog is currently eating, reminding membership clients of their membership discounts, or even talking with clients about thier dogs habits can lead to an opportunity to sell something. These goals are acheivable. Make sure to let management know if there is something a client requests we start carrying so we have that opportunity for a sale.
