Executive Assistant and HR Administrator
We are seeking a dynamic and organized Executive Assistant and HR Admin to provide comprehensive support to the Company’s executives and oversee HR administrative functions. This role will require a proactive and detail-oriented individual with excellent communication and organizational skills.
Responsibilities:
Executive Assistant Duties:
- Prepare and edit documents, presentations, and reports as needed.
- Handle confidential information with discretion.
- Organize and manage the Company’s physical and digital documents and materials in its file storage systems.
- Assist in finding existing documentation and materials for audits and other requests as needed.
- Coordinate press releases and regulatory disclosures with Company management and other departments.
- Assist Company management file quarterly and annual regulatory disclosures.
- Screen and respond to incoming calls and emails.
- Assist in coordination of Executive team meetings and retreats as needed.
- Assist with special projects and initiatives as needed.
- Act as proctor in interviews that have tests when needed.
HR Admin Duties:
- Manage the onboarding process for new employees and contractors.
- Lead Day 1 onboarding process for new hires and contractors.
- Set follow-up meetings as necessary to ensure team is supported.
- Collate and organize feedback for team members in preparation for performance reviews.
- Maintain employee records, including personnel files, benefits information, and time off requests.
- Coordinate with various departments to onboard new hires
- Coordinate with various departments in the offboarding process.
- Coordinate employee training and development programs.
- Assist with HR-related projects, such as policy updates, employee handbook, and performance reviews.
- Follow-up with Admin/Onboarding team on status of hires and provide updates.
- Assist in offobarding activites as needed.
- Define/formalize/assist with internal mentorship program.
- Act as POC to the Company’s payroll provider.
Qualifications:
- Bachelor's degree or equivalent experience.
- Minimum of 2 years of experience as an Executive Assistant or HR Admin.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent organizational and time management skills.
- Excellent communication skills, both verbal and written.
- Ability to work independently and as part of a team.
- Strong attention to detail and accuracy.
- Ability to handle confidential information with discretion.
Additional Skills (Preferred):
- Knowledge of employment laws and regulations.
- Experience with recruiting and interviewing candidates.
