Position Title: Assistant Director of Systems Integrations
Department: Information Technology
Reports to: Director of Web and Application Services
Location: On campus (River Forest, IL)
Position Summary:
The Assistant Director of Systems Integrations works to analyze and streamline institutional processes related to data integration, retention, protection, and handling of university information. This position will guide departments through streamlining processes by leveraging the digital workflow, forms, and integration capabilities of various systems. The Assistant Director is also responsible for developing standards, best practices training, and ongoing support for electronic information management, as well as consulting on policies and trend analyses. The Assistant Director will also serve as a member of a cross-functional, University stakeholder team to share knowledge, innovate, explore, and choose new products as needed. The Assistant Director also collaborates with the Dominican University Information Technology (DU-IT) security team to advocate for and implement best practices related to data and information security.
Duties and Responsibilities:
- Supervisory Scope: This role will supervise student employees.
- Consult with and assist university departments in analyzing and designing/redesigning their processes and workflows, determining which technologies will suit their needs throughout the entire information management lifecycle.
- Coordinate with DU-IT colleagues and other key campus stakeholders to implement information management and workflow technologies in accordance with processes and workflows as analyzed and designed.
- Serve as the principal administrator of Softdocs™, the University’s document management and process automation system, designing forms, workflow capabilities, information storage structures, and applying security privileges.
- Provide a level of governance for university information by determining and advocating rules, best practices, and standards to protect the integrity, usefulness, and recoverability of University information resources.
- Serve on a cross-functional team including the Chief Information Officer, University Archivist, Information Security Specialist, and other individuals to maintain and enforce the University’s records retention schedule and other related policies and documents.
- Perform annual departmental reviews to update training, procedures, and/or policies to reflect business process changes related to information management.
- Monitor statistical trends, submitting reports and making appropriate recommendations in the proper management of university active and inactive information portfolio.
- Assist with establishing new and modifying existing Microsoft SharePoint™ sites.
- Help departments generate training resources in the form of manuals, training programs, or other suitable methods.
- Serve as a member of the Data Management Committee (DMC), a University shared-governance entity focused on data and information management.
- Attend all departmental and other planning meetings. At the request of the CIO, represent the division at additional campus or external meetings, events, or gatherings.
- Participate in occasional after-hour, weekend, or holiday support needs, upgrades, or emergency scenarios.
- Engage in university service work that promotes collaboration and community building. This includes participating in organizational initiatives, supporting campus events, contributing to community outreach, and fostering a diverse and inclusive environment through involvement in various staff-driven activities and groups.
- Other duties as required and/or assigned.
Required Qualifications:
- Bachelor’s degree in a related field.
- 1 year experience utilizing document management/process automation systems or similar technologies.
Knowledge, Skills, and Abilities:
- Demonstrated experience managing small-scale information systems/technology projects.
- Demonstrated business/process analysis skills.
- Demonstrated experience with change management concepts.
- Demonstrated experience with diagramming technologies (ex: Microsoft Visio, draw.io, etc.).
- Demonstrated experience in developing and presenting training programs.
- Demonstrated understanding of basic database management concepts such as queries, data/metadata structures, and data normalization.
Preferred Qualifications:
- Master’s degree in a related field.
- Work experience in a higher education environment.
- Professional certification in Information Governance (ex: CRM, CRA, IGP).
- Experience with the Softdocs™ document management/process automation system.
- Experience with student information systems such as Jenzabar One.
- Experience with Microsoft SharePoint™.
- Experience with coding skill sets such as HTML, CSS, and SQL.
Physical Demands:
- Ability to spend long durations of the workday sitting at a desk and working on a computer
- Ability to lift up to 15 pounds at times
Salary and FLSA Status
- FLSA Status: Exempt, full-time
- SALARY: $70,000 – $77,400
