Position Title: Receptionist
FLSA Status: Non-Exempt
Department: Sales/Accounting
Reports to: Office Manager/Controller
Answers telephones and greets customers as they enter sales showroom. Assist sales and reports new car deliveries to manufacturer. Assist sales and office as need basis.
Responsibilities:
Operates a multi-line phone system.
Answers all incoming calls in a prompt, polite, professional manner, transferring them to the appropriate person or department quickly, or operating the dealership paging system to call individuals to the phone.
Minimizes the time callers are on hold and checks back with them frequently to ensure they wish to continue holding.
Takes detailed messages when call cannot be completed including caller’s name, telephone number, time of call, information requested and delivers to appropriate party in a timely manner.
Screens incoming calls as requested by managers.
Develops knowledge of basic dealership information in order to respond to callers who have general inquiries.
Notifies supervisor immediately of any problems with phone system.
Updates and distributes dealership phone directory as needed.
Performs clerical duties as assigned.
Maintains professional appearance and neat work area.
Help dealership achieve and maintain CSI standards.
Keeps a log of all data that is sent out overnight. (Fed Ex, UPS)
Maintains a professional attitude with co-workers, customers, vendors.
Requirements:
Follows the dress code the company has put in place. Maintains a clean and neat work area.
Follows federal, state and local law as well as company policy about safeguarding all information.
Reports on time to work and follows schedule that is given. Calls supervisor if he/she cannot be at work on time.
Keeps current with annual HR training along with any other training that might be required for this position.
Follows all company policies and procedures. Notifies supervisor of any illegal activity.
