JOB SUMMARY:
This position performs a number of administrative support and customer service tasks to ensure efficient operation of the office environment. Specific duties and responsibilities may include but not limited to:
JOB RESPONSIBILITIES:
· Answering phone calls, transferring callers as appropriate
· Greeting customers, vendors and visitors to the office, ensuring guests are comfortable and are connected with the right office personnel
· Monitoring and ordering inventory and supplies for the office
· Manage incoming and outgoing correspondence including emails, faxes, mail and packages
· Filing and organizing records, invoices and other important documentation
· Applying customer payments to accounts accurately
· Researches and resolves customer billing questions
· Processes credit card payments
· Maintains customer accounts and records
· Prepares daily bank deposits
· Receiving and dispatching customer orders/coordinates with bulk fuel drivers
· Submitting work orders and scheduling repairs for service department
- Provides accurate and timely information to customers
- Provides timely feedback to the company regarding customer concerns
- Partners with the office team to meet and exceed customer service expectations
- Serves as an administrative assistant to employees in the office
- Other duties as assigned
REQUIREMENT:

· Strong organizational skills and excellent follow-through
· Strong attention to detail and time management skills
· Timeliness and promptness with attendance, assignments and correspondence
· Show initiative to continue learning and develop skills
· Ability to assist all departments with administrative duties as needed
· Uphold Dooley’s Petroleum Inc.’s policies and procedures to meet company standards
QUALIFICATIONS:
· Administrative Assistant or Receptionist in a busy industry and office environment
· 2 or more years of customer service experience required
· Proficiency with Microsoft office applications is expected
