We are seeking a highly organized Administrative Assistant to support our executive and management teams. In this role, you will handle a variety of administrative tasks, including organizing meetings, managing communications, coordinating travel, and overseeing office operations. You will be responsible for maintaining a well-structured and efficient office environment, supporting the distribution of contracts and documents, managing supplies, and assisting with company events. The ideal candidate will have excellent communication skills, a strong attention to detail, and the ability to manage multiple tasks. This position requires punctuality, professionalism, and the ability to identify and implement process improvements to enhance overall efficiency.
Your Key Responsibilities
- Assist executives and management team members with various tasks and projects.
- Organize, plan, and schedule meetings, ensuring all logistics are in place.
- Serve as the primary point of contact for executive management, responding to emails, voicemails, and correspondence in a timely manner.
- Greet visitors and answer inquiries in person or on the phone, directing them to appropriate personnel.
- Maintain a comprehensive understanding of the company's organizational structure, personnel, products, and services.
- Be punctual and ready to start work at 8 : 00 a.m.
- Manage contract distribution, modifications, and track documentation with engineering teams.
- Plan and coordinate travel arrangements, including company / individual reservations, and prepare expense reports.
- Ensure adequate inventory of office supplies and coordinate purchases, repairs, and maintenance of office equipment.
- Oversee kitchen supplies, including coffee machines, and ensure kitchen facilities are stocked.
- Distribute customer materials, such as World Book, WIR Magazine, Christmas cards, and calendars.
- Organize company events, functions, trade shows, and customer visits.
- Maintain an organized office environment, ensuring everything is in its place.
- Handle office services, including the postage meter, phone list, and mail distribution.
- Alphabetize incoming AP invoices and match them with receiving documents.
- Schedule and track company resources (meeting rooms, vehicles) to ensure availability.
- Perform other administrative duties and special projects as assigned by the Executive Management Team.
- Proactively identify opportunities for process improvements and efficiency.
- Represent Doppelmayr professionally and contribute to the company's success.
