Accounts Payable Specialist (Minneapolis, MN) (#3921)

We are seeking an Accounts Payable Specialist to join our Finance team in our Minneapolis office. In this role, you will be responsible for the data entry, review, and payment of Accounts Payable disbursements for proper billing to clients and expense accounts. You will also be responsible for firm and vendor inquiries and vendor statement review. Are you detail oriented and enjoy working with numbers? Additional Responsibilities Include

  • Process vendor invoices on the firm’s Accounts Payable system platforms. Ensure supporting backup complies with internal control requirements and necessary tax requirements. Verify payments are allocated to the proper expense or client accounts.
  • Assist in processing employee and lawyer expense reimbursements on the firm’s Accounts Payable system platforms and adhere to firm policies in identifying items that qualify for reimbursement. Ensure supporting backup complies with internal control requirements and necessary tax requirements.
  • Responsible for responding to firm and vendor inquiries on a timely basis while maintaining quality and professional custom service.
  • Research vendor statements to ensure all invoices listed as unpaid have been received and have been entered or paid. Work directly with vendors, request copies on unpaid invoices as needed and resolve any differences.
  • Reconcile and apply payment of firm credit cards on a monthly basis by the due date.
  • Participate in clean-up and research of documentation via Postmark.
  • Assist with Chrome River/Emburse software management.
  • Perform audit of incoming vendor invoices and lawyer/employee expense reports within Chrome River/Emburse.
  • Manage import of transactions from Chrome River/Emburse into firm’s Accounts Payable system 3E.
  • Process emergency checks in accordance with firm policies.
  • Participate in weekly ACH/check run rotation.
  • Responsible for voucher entry corrections to GL Accounts.
  • Review monthly parking/rent payments, data entry and maintaining the log sheet to assure all payments were made.
  • Responsible for the weekly UPS and Federal Express interfaces.
  • Responsible for checks cleared program each month.
  • Backup for foreign invoice payments.
  • Backup for emergency wire transfers.
  • Assist with internal backup requests for client invoices.
  • May be requested to perform other duties not listed above.

What We’re Looking For

  • High School Diploma or G.E.D. equivalent.
  • At least 2 years of experience in an automated Accounts Payable environment or related environment.
  • Ability to work well under pressure and meet constant deadlines.
  • Ability to communicate well with all levels of administrative and legal professionals.
  • Excellent math aptitude.
  • Proficient use of 10-key.
  • Ability to type at least 40 wpm with a high degree of accuracy.
  • Minimum one (1) day per week in office (Thursdays) subject to change due to Management policy or discretion.

Preferred

  • Previous experience with personal computers (Windows) and related software packages, including
  • Microsoft Excel, Word and Outlook.
  • Experience in a law firm or other professional services firm

The pay range for this position in Minnesota only is $23.15 to $29.97 per hour (if non-exempt).
