What are the responsibilities and job description for the Wedding Maitre'd position at DoubleTree by Hilton Akron Fairlawn?
The DoubleTree by Hilton Akron Fairlawn is on the lookout for a few outgoing, highly detailed, self-starting individuals to join our Wedding Maitre'd Program!
A Wedding Maitre'd offers on the day management and will be there to fullfill the bride, groom and their families' needs/requests. A wedding Maitre'd must remain clam, organized and adaptable, ensuring the couple and their families can fully enjoy their special day without worrying about logistics.
The amount of time spent working with the guests before the day will be very limited but very important. Maitre'd will be required to meet with the clients two times prior to the wedding day and must be available on the wedding day itself.
Prior-Event Tasks
1.) Meet with guests at their menu tasting
- Assist Sales Manager in gathering details for the event day.
- Provide guidelines for packing centerpieces/decor for the event.
2.) Schedule and meet for drop off prior to event
- Go through all decorations/centerpieces to ensure nothing if missing/broken. Note details on how/where items will be placed.
- Confirm seating arrangements.
Event Day Setup
1.) Check-Ins
- Periodically check on the wedding party (if they are onsite) to ensure they're comfortable and enjoying themselves.
2.) Problem Solving
- Be ready to step in if there's a hiccup, whether it's lost items, someone feeling unwell, or handling guest questions on their behalf. By ensuring the wedding party feels supported, the coordinator helps the day run smoothly for everyone involved.
During the Reception
1.) Reception Setup
- Confirm table settings, centerpieces and any other decor align with the agreed plan.
- Coordinate vendor setup (e.g., cake display, DJ/band equipment, photobooths).
2.) Event Flow Management
- Facilitate and coordinate with vendors key events like the first dance, speeches, cake cutting and bouquet toss.
- Keep the timeline on track while allowing for flexibility.
3.) Guest Assistance
- Answer questions, provide directions and assist with special needs.
4.) Vendor Coordination
- Ensure food service is on schedule.
- Liaise with the photographer and videographer to capture important moments.
Post-Event Tasks
1.) Tear Down & Cleanup
- Oversee vendor pack-up.
- Ensure personal items are safely collected, packed and store for the couple.
2.) Final Vendor Coordination
- Confirm services have been fulfilled.
3.) Emergency Management
- Handle any lost-and-found items or remaining issues before leaving the venue.
