Job Title: Hotel Sales Assistant (for two hotels on Atlantic Avenue)
Department: Sales Office
Director of Sales: Diane D’Alberto
Type of job: Hourly, full-time, eventually promoting to a salaried Sales Manager position
Hours: Sales Office – 9:00AM-5:00PM (some evenings when necessary)
Must be available to work one Saturday a month
Main job duties:
· To assist the Director of Sales in Administrative Duties in both Sales Offices
· Perform site inspections of the Banquet Room and/or Sleeping Rooms as necessary.
- Work some days or nights when needed for groups in-house.
- The job will require working for 2 hotels within our company.
Requirements:
- Professionalism with excellent customer service skills
- Exceptional attention to details and the ability to communicate using both written and personal communication skills
- Able to meet deadlines while maintaining required details
- Punctual and on time for work each day
- Dress professionally at all times. Jeans and sweatpants are not allowed whatsoever.
- Well organized, detail oriented with excellent follow-up skills
- Desire to learn about both hotels and work with several team leaders
Responsibilities:
- Prepare proposals given to you by the Director of Sales
- Keep the banquet room maintained and ready for site visits
- Prepare welcome letters for incoming groups
- Complete all mailings and maintain updated lists as given
- Enter rooming lists for groups booked
- Conduct site visits of the hotel for drop-in visitors and/or scheduled appointments
- Complete group histories and any final details necessary after group departure
- Prepare all giveaway items to be distributed to guests, i.e. coffee mugs, business card holders, gift baskets, etc.
- Prepare all Group Resumes for upcoming groups at least 7 days prior to arrival
- Keep all files in organized manor in the filing cabinets
- Research our competition online and report findings to DOS
- Complete training modules as provided by Hilton Worldwide
- Complete any other tasks requested by the DOS
- Reports directly to the Director of Sales
Required Experience:
- 1-2 years hospitality experience
- 2 years of office experience
- Strong computer skills and experience in Microsoft Office, Excel, Word and Publisher
