SCOPE AND PURPOSE : To support all levels of the Project Management team with administrative duties, follow up and communication between subcontractors and superintendents.
DUTIES AND RESPONSIBILITIES : Include but are not limited to the following, as other duties may be assigned.
GENERAL OPERATIONS
- Assist in the receipt of incoming information and reasonable response and follow up in the absence of the project managers, limited to capabilities
- Assist in the preparation of job kit, meeting minutes, and miscellaneous correspondence for project managers and superintendents (as directed)
- Request, accumulate and prepare subcontractor bids, proposals and change orders for addendums or bulletins
- Rough draft correspondence as directed by project managers, i.e. dunning letters, punch lists, and RFI’s
- Process, log and distribute submittals
- Follow up with deliveries and outstanding information
- Transmittal of plans and general information to appropriate parties
- Maintain strong communication with subcontractors, clients, architects, etc.
- Coordinate and support superintendent with project managers as needed
- Manage correspondence files, organize closed job files, file, and coordinate close out packages with Acct. clerk
- Answer phones when receptionist goes to lunch
