We’re hiring an Assistant Project Manager for our Millwork Shop. The APM  supports the Millwork Project Manager with project coordination and correspondence, vendor coordination and correspondence, contract data entry, document tracking, cost progress reporting, and pre-billing reporting.  The Millwork Assistant Project Manager is responsible for closing loose ends, completing tasks, and confirming line-item status of bespoke casework, millwork, doors, and furniture fabricated by the Dowbuilt Woodshop.  The Millwork Assistant Project Manager should also be capable of running small projects autonomously with Project Manager oversight.

WHAT YOU’LL DO

Project Coordination Functions

  • Maintaining timely and effective communication with team, field, client, owner’s rep, design partner, etc.
  • Having a proactive, flexible, and responsive attitude when faced with partial blueprints, design developments, challenges, opportunities, and changes.
  • Maintain, track, and deliver project documentation such as submittals, RFIs, and additional correspondence logs to ensure proper approvals.
  • Maintain a project review dashboard to support timely, consistent, and thorough communication to the client and project team related to budget and schedule expectations.
  • Coordinate team site visits during pre-production planning and installation as required.
  • Review shop drawings for accuracy, changes, additions, constructability, and alignment with overall project goals.

Estimating/Pricing

  • Provide ROM estimates and scope divergence narratives to build teams to confirm scope of work.
  • Identifying, qualifying, and managing subcontractors including RFPs, bid management, contracts, scope of work, build work completion, payment, evaluation, safety compliance, retainage, and close-out.
  • Track and capture all changes in scope on an ongoing basis to be incorporated into the shop contracts.
  • Draft change orders when required to capture additional cost due to changes in scope, materials, finishes, or other items in the contract.
  • Enter change orders into accounting software to maintain an updated WIP.
  • Reconcile credit card purchases and track receipts and expenses against monthly statements.

Scheduling

  • Maintain project schedules in collaboration with Millwork Production Coordinator and Millwork Project Manager. 
  • Work with Millwork Production Coordinator and Millwork Project Manager to establish vendor schedules and coordinate vendor scope including control documents and sample development.
  • Keep Millwork Shop Manager current on project approvals including minimum 3-week look ahead.
  • Assist engineering and layout teams with task prioritization based on established deliverables.

Financial Performance

  • Review the progress of each project on a routine basis with the Millwork Project Manager.
  • Run labor and cost reports through accounting software to track progress, analyze job performance, and evaluate efficiency.
  • Proactively communicate with Millwork Project Manager if material costs escalate and change orders are required.
  • Contribute to billing projections by running work in progress / committed items reports, and tracking cost / scope variations.

TRAVEL:  Some local and out of state travel may be required in this role. Less than 10% of the time.

WHAT YOU NEED TO SUCCEED

To be successful as a millwork APM in our shop, you’ll need:

  • Bachelor's degree in architecture, construction management, or related field, or equivalent education and professional experience.
  • At least 3 years of experience as a project coordinator or APM, preferably within the construction, design or architecture fields.
  • Valid driver’s license and clean driving record. Must have reliable, personal transportation to get to/from work safely and on time.  Occasional use of company vehicle may be required for installs, etc.
  • Must be able to communicate clearly and effectively with a wide variety of people in written, verbal, and graphic formats
  • Working knowledge of MS Office Suite
  • Proficiency with Adobe Acrobat/Bluebeam Revu
  • Respect, honesty and collaborative approach with team, vendors, partners and clients
  • Able to adapt quickly and effectively to changing circumstances
  • Be a team player and foster a positive and constructive attitude environment onsite

  • Valid driver’s license and transportation to get to work safely and on-time. Occasional driving of a company vehicle may be required.

The compensation range for this position is $72,000 - $95,000 annually.
