Job Title: Executive Assistant

Job Summary: The Executive Assistant will play a critical role in supporting our Visionary and Integrator as well as other individuals on our leadership team. This individual will ensure our weekly L10 meetings are well-documented and prepared for with a proactive approach, while also gathering and maintaining data for the company scorecard across all departments. The ideal candidate thrives in a fast-paced environment, demonstrates exceptional organizational skills, and is a proactive problem solver.
Key Responsibilities:
- L10 Meeting Management:
- Attend weekly L10 meetings, take detailed notes, and ensure all to-dos, issues, and follow-ups are accurately captured.
- Distribute any meeting notes promptly and follow up to ensure accountability.
- Ensure meetings are prepared for and all scorecard data is entered.
- Provide weekly measurable reports to the leadership team in a timely and accurate manner for review prior to the L10 meetings.
- Scorecard Data Management:
- Gather and enter weekly scorecard data into NinetyIO.
- Verify the accuracy and completeness of metrics before presenting to the leadership team.
- Assist in identifying trends, gaps, or areas requiring attention based on scorecard data.
- Administrative Support:
- Provide daily administrative support to the leadership team, including managing schedules, emails, and calendars.
- Coordinate follow-ups for to-dos and rocks across the organization.
- Assist in preparing reports, presentations, and other essential materials as needed.
- Systems and Process Support:
- Maintain organized records of meeting notes, scorecards, and other critical documents in company systems.
Qualifications:
- Proven experience as an Executive Assistant, Administrative Coordinator, or similar role.
- Familiarity with EOS (Entrepreneurial Operating System) principles and terminology (L10, Scorecard, Rocks, etc.) preferred.
- Exceptional organizational, time-management, and communication skills.
- Strong attention to detail with the ability to manage multiple priorities.
- Proficiency in using a computer, Microsoft Office Suite, Google Workspace, and project management tools.
