About the Position:
Doyle Auctioneers & Appraisers is seeking a full-time Shipping & Logistics Coordinator to join our team in New York. The ideal candidate is self-motivated and wishes to work in a fast-paced, exciting industry. The role requires excellent organizational and communication skills. Full-time, in-house position. Responsibilities:
- Schedule collections, deliveries and transfers of property using Doyle owned vehicles, including trucks, vans and cars
- Oversee deliveries to company locations such as the 87th St gallery, Bronx warehouse, regional offices, and Doyle owned subsidiary, Hayloft Auctions
- Organize third party shipping for inbound property when necessary
- Manage shipping-related client appointment scheduling in collaboration with business getters via Outlook and Airtable
- Prepare collection paperwork, property labels, COIs and indemnity documents for incoming shipments as needed
- Enter shipping costs into Go Auction where applicable
- Maintain company logistics calendars in Outlook and Go Auction
- Working alongside Inventory Manager, coordinate the installation and deinstallation of exhibitions and auctions
- In collaboration with other Operations department staff, strategize auction, exhibition and logistics calendar and processes to improve efficiency
- Alongside Operations Manager, Marketing and Regional Advisors organize and execute regional touring schedule for highlights from upcoming auctions
- Receive and organize incoming and outgoing trucking paperwork for recording keeping purposes
- Foster a collaborative and accountable team culture
Skills and Qualifications:
- Bachelor’s degree
- 2 years of experience in shipping and/or logistics, preferably in an art/antiques-related setting
- Experience in the auction industry or a similarly fast paced environment preferred
- Strong familiarity and experience with inventory management software, systems and processes
- General knowledge of art handling best practices
- Knowledge of safety and regulatory compliance related to shipping and logistics Excellent problem-solving and analytical skills, with attention to detail and strong visual memory
- Strong organizational and multitasking abilities, capable of managing shifting priorities
- Effective communication and interpersonal skills to collaborate with cross-functional teams
