Job Description: Medical Secretary
Key Responsibilities:
- Patient Scheduling & Appointment Management:
- Schedule and confirm appointments for patients with medical professionals.
- Manage and coordinate doctors’ schedules, ensuring appointments do not overlap.
- Send reminders to patients about their upcoming appointments.
- Medical Records Management:
- Maintain accurate patient records, including medical histories, test results, and visit summaries.
- Ensure patient confidentiality by following HIPAA guidelines.
- File and organize patient charts and documents, both digitally and physically.
- Front Desk Operations:
- Greet patients, answer phones, and provide general information.
- Collect patient personal information, insurance details, and medical histories.
- Handle patient check-ins and check-outs.
- Medical Correspondence:
- Assist in preparing and managing medical correspondence, such as referral letters, medical reports, and appointment reminders.
- Relay information between patients and medical staff, ensuring accurate and timely communication.
- Inventory and Supplies Management:
- Order and maintain office supplies and medical equipment.
- Monitor stock levels of medications or other medical materials required by the healthcare team.
- Office Organization & Clerical Support:
- Perform routine clerical tasks, such as filing, faxing, photocopying, and data entry.
- Maintain office filing systems, ensuring that all documents are appropriately archived.
- Communication and Coordination:
- Coordinate between departments, ensuring the flow of information between administrative and medical staff.
- Handle sensitive medical information with care and confidentiality.
- Communicate effectively with both medical professionals and patients.
- Other Duties:
- Assist with patient follow-up calls for appointment reminders, test results, or medication instructions.
- Support the medical team in administrative tasks like transcription, correspondence, and preparing documents for meetings or conferences.
Qualifications & Skills:
- Education: High school diploma or equivalent (some positions may require a medical secretarial certificate, associate’s degree, or equivalent training).
- Experience: Previous experience in medical office administration or a similar role preferred.
- Skills:
- Strong organizational and multitasking skills.
- Proficiency in office software (Microsoft Office, Google Suite, etc.) and medical software (EHR/EMR systems).
- Excellent communication skills, both verbal and written.
- Attention to detail and ability to handle sensitive information.
- Knowledge of medical terminology, office procedures, and insurance processing.
- Ability to remain calm under pressure and work efficiently in a fast-paced environment.
