Employee Job Title: Legal Business Administrator
Location: Hybrid
Hours: Full-time, Mon - Fri, between 8:00 am - 4:30 pm PST
Reports to: Director of Operations
Compensation: $31 - $42 per hour
Job Description: The Legal Business Administrator will act as a vital bridge between the companys legal, compliance, and operational teams. This role is designed for a highly organized, detail-oriented professional who excels at integrating legal compliance with business operations. The Legal Business Administrator will ensure the companys products, systems, and processes adhere to all applicable regulations while developing systems that enhance efficiency and reduce risk. This position requires a strategic mindset, exceptional collaboration skills, and the ability to oversee legal and regulatory processes that align with the companys business objectives.
Responsibilities:
Regulatory Compliance
- Monitor and interpret federal, state, and international regulations affecting the companys products, packaging, labeling, and e-commerce listings (e.g., FIFRA exemptions)
- Ensure ongoing compliance with state and federal laws governing pest control products
- Research and implement international compliance requirements for new market expansion
- Proactively identify and implement measures to adapt to regulatory changes, aligning compliance with business priorities
- Coordinate cross-departmental teams to ensure that compliance, legal, and operational functions align with organizational goals and objectives
Quality Assurance and Risk Management
- Partner with Supply Chain to ensure QC and QA policies, procedures, and training are compliant with applicable laws and regulations
- Ensure compliance with product safety and regulatory standards by collaborating with the product team
- Support product recall procedures, including coordination with regulatory agencies and internal teams
- Complete product certification applications, ensuring legal compliance, accuracy, and the collection of all required materials and data
- Develop and implement risk management strategies to mitigate potential legal or operational risks
Intellectual Property (IP) Management
- Administer and maintain the companys intellectual property portfolio, including trademarks, copyrights and renewals
- Monitor and address potential IP infringements related to trademarks, ensuring the finalization of trademark processes; prepare and gather necessary information for legal teams to issue cease-and-desist letters as required
- Maintain organized IP records and collaborate with marketing and product teams to align IP strategies, including managing trademarks, copyrights, patents, and trade secrets to support company growth and protect assets
Contract Management
- Review, negotiate, and manage attorney-approved contracts, including NDAs, vendor agreements, and licensing agreements, ensuring accuracy and compliance
- Responsible for researching and recommending legal counsel for specialties, including international, EPA, and FIFRA compliance
- Establish a centralized contract database and ensure timely renewals or terminations by legal requirements
- Collaborate with external counsel to address complex legal contract issues
Legal Research and Documentation
- Research emerging laws and regulations, providing actionable insights to leadership on potential business impacts
- Prepare legal documentation for audits, disputes, and inspections, as well as reports for owners and legal counsel review
- Develop and deliver compliance training materials to internal teams, fostering a culture of compliance
- Maintain organized legal files for internal use and regulatory submissions
System Development
- Create and manage workflows for tracking compliance, product registrations, and legal updates
- Establish systems to streamline the management of compliance risks, QC/QA records, and regulatory changes
- Support consumer complaint resolution processes with potential legal implications
- Lead cross-departmental initiatives to improve operational processes while maintaining compliance
Qualifications:
- Bachelors degree required, preferably in business administration, legal administration, compliance, or a related field
- Strong understanding of regulatory frameworks, e-commerce, and consumer product safety
- Experience integrating legal compliance into operational processes and business strategies
Competencies:
- Skilled in legal research, contract management software, and workflow automation, with expertise in streamlining compliance, contract approvals, and project coordination
- Proven experience managing intellectual property, including trademarks and copyrights
- Exceptional organizational, analytical, and communication skills with attention to detail
