We are a high-end, award winning boutique plastic surgery practice seeking a Front Office Coordinator with a passion for service-oriented care! As the first point of contact with our patients, this position is vital in setting the tone for a quality patient experience. Applicants must be professional, kind, caring, compassionate, engaging, and possess excellent sales skills, with a passion for learning. We are looking for individuals who are outgoing, friendly, and highly motivated to join our fast-growing team!

Applicants will be responsible for ensuring smooth operation of the office, including the delivery of superior customer service. Applicants will be responsible for front and back-office services such as greeting patients upon arrival, coordinating their visit with appropriate staff members in an efficient and pleasant manner, scheduling appointments, managing leads and phone calls, and other imperative office duties.

This position is for full-time on-site employment in our Pasadena, CA office. Some weekend availability may be required on an as needed basis.

Skills and Abilities:

  • Superior interpersonal and communications skills.
  • Proven experience as a Front Desk Coordinator or similar role; experience as a Medical Receptionist is a plus!
  • Outgoing and passionate about interacting with patients and staff.
  • Superior listening skills and ability to empathize with others.
  • Superior verbal and writing skills.
  • Appropriate sense of discretion in dealing with varied and difficult situations.
  • Ability to convey an upbeat and positive attitude in all dealings with others.
  • Exceptional personal organizational skills to ensure outstanding customer service.
  • High level of attention to detail and superb problem-solving skills
  • Superior ability to be a “self-starter” who is proactive and can use critical thinking.
  • Must be able to manage changing priorities throughout the day, often with multiple tasks at a time.
  • Knowledge and proficiency with Google Docs, iCloud, Excel, Word, and other basic office programs
  • Sales oriented, must be comfortable with learning all products and services the practice offers to speak with patients about these items in a knowledgeable manner.
  • Knowledge of basic health insurance protocol/terminology. Billing experience strongly preferred.

What You'll Do

  • Answer telephone calls on a multi-line telephone system.
  • Schedule appointments in a cloud-based scheduling system
  • Check patients in
  • Perform transactions for products and services.
  • Take detailed messages from patients in electronic health records.
  • Update medical records with demographic information.
  • Perform miscellaneous administrative tasks (faxing, scanning, etc.)
  • Manage schedule of healthcare providers, medical assistants, and non-invasive treatments
  • Submit and manage insurance billing and collections.
  • Assist in marketing initiatives and promote spa services and products.
  • Process payments and manage client transactions accurately.
  • Maintain organized and up-to-date client records and files.

Pay: $50,000.00 per year
