Summary:  

The Pre-flight Graphics Associate is responsible for executing all aspects of the AV-Drop Graphics support process.  This position requires a unique blend of customer service skills, pre-flight printing expertise, and graphic design technical knowledge to ensure seamless communication with clients and print vendors while maintaining the quality and print-readiness of design files. This role is ideal for a highly organized, detail-oriented individual with project management experience who can calmly juggle multiple projects simultaneously with deadlines to meet while maintaining sharp focus on the practical aspect of production. The ideal candidate will possess strong problem-solving skills, an eye for aesthetics, and the ability to communicate effectively across teams, customers and printers to ensure seamless project delivery.  Salary range for this role is $70-75,000 commensurate with experience.  

Duties and Responsibilities:  

• Mastery of AV-Drop: Must learn and fully understand the AV-Drop scenic backdrop solution, our proprietary design tool for staged meetings and events, trade shows, and exhibits.  

• Graphics Review: Review and pre-flight graphics for client approval and print production. Being able to identify common issues such as:  

• Colors set to CMYK 

• Fonts missing or not outlined  

• Poor resolution / DPI high enough to size properly  

• Sizing is correct 

• Identifying Pantone “Spot” Colors as needed  

• Bleed missing or set up incorrectly  

• Crop marks Visible on viewable area 

• Graphic Design Skills: Utilize graphic design skills and software proficiency (Adobe Creative Suite) to make necessary adjustments to client files, while maintaining design integrity and brand consistency.  

• Graphics Asset Management: Utilize, organize and streamline graphics asset management through Dropbox for storage and file sharing between customers and print vendors.   

• Quality Control: Assure all final prints delivered by printers are proofed for color, size, design element accuracy and resolve any quality issues with vendors.  

• Project Management: Must be able to manage the workflow of multiple AV-Drop printed skins simultaneously and keep projects on timelines for client event dates that are time sensitive.  

• Administrative Support: Manage purchase orders, and support documentation for Accounts Receivable (A/R), Accounts Payable (A/P), and billing.  

• Collaboration: Work closely with the fabrication department and our multiple location coordinators to ensure project deadlines and overall project scope are met.  

• Organizational Skills: Demonstrate exceptional organizational skills, clear communication, and time management.   

• Technical Proficiency: Use advanced skills in Adobe Creative Suite specifically Adobe Illustrator, and Microsoft Office for general visualization and design support.  

• Vendor Management: Manage relationships with printers and ensure all deadlines are met.  

• Quality Control: Uphold rigorous quality control standards throughout the pre-flight and production process, ensuring accuracy, consistency, and print quality. Review printed proofs and samples to validate print accuracy and address any errors or discrepancies.   

• Client Communication: Collaborate with clients and internal stakeholders to address any design-related issues or modifications, ensuring client satisfaction and print feasibility. Assist in creating print file glossary of terms.  

• Blueprint Reading and Measurement: Ability to read blueprints, drawings, and sketches to fully grasp requirements. Take measurements and calculate the size and amount of material needed.  

Qualifications:  

• Education: Bachelor’s degree required or related field preferred.   

• Preflight Experience Required: Experienced in pre-flighting client-provided graphics for production and delivery to printers. Prior knowledge of large format Dye Sublimation printing a plus.   

• Experience: 2-5 years of experience in tradeshow, exhibit, event, theatrical, retail, or experiential event print production, and project management.  

• Multi-task: Ability to multitask, prioritize workload, and adapt to changing priorities while maintaining a positive attitude.  

• Design Skills: Proficiency in Adobe Creative Suite software, including Illustrator, Photoshop, and InDesign.  

• Communication: Strong communication skills.  

• Attention to Detail: Ability to thrive under pressure while maintaining attention to detail. With the ability to work methodically and meet deadlines.  

• Material Sourcing: Proficient in sourcing both standard and non-standard materials.  

• Travel: Willingness to travel 5-15%.  

Physical Requirements:  

• The work involves primarily sitting and standing in a stationary position.
