General Description
The Operations Coordinator is key to the successful day-to-day operation of our center. You will assist in coordinating top-notch services to our clients, with tasks that will hone your detail-oriented skills and ability to manage multiple responsibilities. Essential tasks include schedule coordination, communication with staff and families, and general administrative duties. Your dedication to providing excellent service and ensuring client satisfaction will contribute to our ongoing commitment to exceptional care. This position is on-site, Monday through Friday, during operating hours.
Duties and responsibilities
- Develop ongoing client schedules based on clinical recommendations factoring in the clinical fit of a therapist, availabilities, time off, and other factors.
- Input client/therapist schedules into scheduling software.
- Communicate with families regarding their new schedules, ongoing schedule changes, and other scheduling-related matters.
- Review weekly reports provided by Billing to ensure that signatures have been collected, sessions have been rendered, and there are no discrepancies.
- Find coverage for center-based sessions and schedule make-ups or subs when possible.
- Leads day-to-day administrative tasks such as timely and high-quality phone reception, word processing, data entry, filing, and other administrative tasks.
- Greets and assists behavior therapists and parents when needed.
- Fields calls from current families.
- Manages scheduling changes of current families.
- Assists Center Manager with maintaining the professional appearance of the Center according to Dream Big standards.
- Supports standards and procedures to ensure client and employee safety and well-being.
- Track client and therapist attendance according to the attendance policy and keep the Center Manager informed.
- Complete housekeeping tasks around center when needed.
Qualifications
- At least two years of experience in providing administrative support
- At least two years of experience with customer service
- Bachelors degree preferred
- Due to potential conflict(s) of interest, internal candidates interested in applying for the operations coordinator role(s) do not qualify if the position is for their current location.
Physical requirements
Lifting 20 pounds maximum with occasional lifting and/or carrying objects up to 10 pounds. Frequent standing, walking and occasional squatting, bending over, and lifting.
Pay rate: $20-$25/hour
