\n- As the Lodging Administrative Assistant, you’ll provide essential support to the Lodging department—assisting our management team and ensuring smooth operations. Whether you’re handling administrative tasks, coordinating with other teams, or assisting with HR and accounting functions, your role is key to the success of our department and the satisfaction of our guests and homeowners.
- Administrative Support & Coordination
- Assist management with a variety of tasks, including preparing reports, correspondence, forms, and other key documents
- Coordinate meeting schedules, appointments, and travel arrangements for department leaders
- Organize and distribute mail, manage filing systems, and perform data entry
- Handle phone calls with professionalism, providing accurate messages and routing as needed
- Customer & Employee Interaction
- Respond to customer inquiries, providing information about resort offerings and addressing concerns
- Maintain confidential records related to resort operations and personnel
- Assist with HR tasks, including new hire paperwork, posting job openings, and organizing employee events
- Operations & Inventory Management
- Work with vendors to process check requests and monitor vendor invoices
- Assist with billing and housekeeping operations, ensuring accurate charges for homeowner stays
- Support day-to-day department operations, including managing orders and ensuring timely delivery of housewares for new homes
- Collaborate with the Shipping/Receiving team to ensure proper inventory management
- Team Support & Communication
- Assist in organizing departmental projects and maintaining clear communication with other teams
- Build and maintain relationships with regular points of contact, including guests, homeowners, and Lodging team members
- Foster effective relationships with employees, managers, homeowners, and guests
- Uphold resort policies and procedures to ensure smooth operations
- Other Duties
- Assist with special projects or other tasks as assigned - always ready to pitch in wherever needed
- Operate resort-owned vehicles as required to support department operations
- High school diploma required; college degree preferred
- 2 years of experience in an administrative support role, ideally in a hospitality
- Proficiency in Microsoft Office (Word, Excel) and general office software
- Strong communication skills, with the ability to manage multiple tasks simultaneously
- Ability to maintain confidentiality and handle sensitive situations with professionalism
- Willing to work flexible hours, including evenings and weekends, as needed
- Positive attitude, professional appearance, and strong organizational skills
- Ability to stand, walk, lift (up to 50 lbs), and move for extended periods
- Comfortable operating standard office and communication equipment
- Able to perform basic math and follow written and verbal instructions
- Able to read, write, and communicate effectively in English
- Ability to operate resort-owned vehicles when necessary to support departmental needs
- Primarily office-based with occasional exposure to outdoor conditions, depending on departmental needs. Safety protocols must be followed at all times to ensure a safe working environment.
