Job Summary:

The Office & Administrative Coordinator is a full-time position within the Drups E-Commerce team. This position will primarily encompass overseeing all aspects of Administration, Accounts Payables, and Human Resources. The Office & Administrative Coordinator will also process payroll, coordinate the hiring, onboarding, and out-processing of all employees and is responsible for organizing company events and initiatives to continually improve the employee experience and company culture. Additionally, the Office & Administrative Coordinator is responsible for, among other things, developing and managing the administrative budget and assisting other departments with budget tracking, payments, reporting and other financial areas. Drups E-Commerce is a small but growing company and requires all employees to be willing to perform any duties requested of them.

Primary Job Duties:

· Day-to-day administrative operations of the company

· Delegating tasks to administrative and virtual assistants. These tasks

will include hiring employees, interviews, bookkeeping, taxes related tasks, legal

tasks, and more.

· Conduct and oversee employee recruitment, onboarding, and training procedures.

· Managing the company’s tax collection and remittance processes, remaining accountable

for various tax accounts, reporting, and filings.

· Developing and implementing company-wide systems, policies, procedures, and initiatives.

· Keeping inventory of and purchasing all office supplies

· Processing all outgoing payments and corresponding with the Procurement Department on payment details and due dates.

· Planning, organizing, and promoting company events, such as meetings, staff parties, community engagement initiatives, and other events.

· Working on special projects and corresponding with Executives & Department Directors to facilitate project management.

· Corresponding with legal counsel and conducting legal research to ensure compliance with laws and regulations pertinent to operations.

· Expanding skills set and expertise by partaking in educational and training opportunities.

· Oversees the company’s community and social impact, identifying and executing

mutually beneficial relationships between the business and fundraising, volunteering,

donation, and partnership opportunities.

· Continually developing and implementing company initiatives and employee benefits

that enhance and cultivate company culture.

· Supporting managers, employees, and external partners, providing resolutions to inquiries

and issues as they arise.

· Supporting the CEO and Executives and offering executive assistant support as needed.

· Supporting CEO in personal assistant tasks as needed.

· Contingency planning and internal crisis communication.

Schedule

This an on-site position and the incumbent will be expected to work an average of 40-45 hours per week based on seasonal workload and job demand. Working hours are Monday through Friday, 8:30 AM – 5:30 PM. This role requires a high level of commitment and devotion and may infrequently require long hours to meet job demand.
