SCHEDULING COORDINATOR
Job Description:
The primary responsibility of the Scheduling Coordinator is to schedule new patients for Diversified Services Enterprises (DSE) and ensure the initial appointments are completed as planned or rescheduled if necessary. This role involves managing patient appointments from various referral sources, including the 1-800-Ask-Gary referral line, advertisements, attorney referrals, and insurance carriers.
Duties and Responsibilities:
- Schedule new patients by qualifying them based on injury type, care needs, injury source (auto accident, Work Comp, etc.), attorney representation, and geographical location.
- Coordinate appointments for in-person visits or Telemed consultations based on practitioner availability, clinic schedules, and patient location.
- Generate and send appointment confirmations via SMS to patients with details including date, time, and office location.
- Track scheduled appointments and follow up daily to confirm attendance; maintain a real-time list of scheduled patients.
- Manage rescheduling for no-shows by reaching out through calls, emails, and SMS, and coordinate with attorneys when applicable to encourage patient compliance.
- Assist with transportation arrangements for patients as needed.
- Archive patient records, manage re-evaluation appointments, and provide daily schedules to medical practitioners.
- Maintain accurate records in the CC Portal tracking system for all completed initial appointments.
Requirements:
- Bilingual (Spanish/English) preferred to accommodate diverse patient needs.
- Flexible schedule: Must be available for evening hours (until at least 7 PM) and occasional Saturdays.
- Strong communication skills with a compassionate and patient demeanor.
- Experience in customer service, problem resolution, and handling stressed individuals professionally.
- Basic computer and data entry skills; ability to multitask effectively.
- Punctual attendance and ability to follow detailed procedures under the direction of the Scheduling Director.
