What are the responsibilities and job description for the Medical Support Assistant position at DT-Trak Consulting, Inc?
We have a great opportunity for Medical Support Assistants - One Year Contract - Federal Facility.
Looking at May start date depending on background and credentialing clearance.
Must have High School Diploma or GED.
- DUTIES AS MEDICAL SUPPORT STAFF
o Answer phone calls in professional manner, and address any queries patients may have.
o Provide excellent customer service internally and externally.
o Perform general and specialized typing utilizing word processing software and printing equipment.
o Route correspondence appropriately via mail, express mail, secured e-mail, FAX, etc.
o Update patient demographic information and check in patient(s) for scheduled appointments, i.e. medical, dental, pharmacy, laboratory, etc.
o Update patient demographic information at each visit.
o Obtain the patient's Third Party health cards, scans administrative documents in the electronic health record and enter/update all information in RPMS/PMAS.
o Receive all signatures for required forms during registration and provide all brochures as required.
o Verify third party insurance at each visit; Medicare, Medicaid, Private Insurance, VA, etc. and update patient record.
o Schedule, reschedule and cancel simple to complex appointments; coordinates appointments in a timely manner to avoid conflicts in patient treatment. Manage a variety of provider orders and nursing instructions involving patient care, Purchased and Referred Care, tests, medications and treatments.
o Scan or fax referrals on a weekly basis to outside facility.
o Approve or Deny referrals weekly, create Purchase Order or Denial Letter.
o Monitor the Pended Claims Report and act as required.
o Submit the Funds Status Report weekly.
o Submit the Open Documents report monthly to vendors and document once the report is returned.
o Uses Vista Imaging software to scan records into the patient record.
o Review documents, signatures, information prior to scanning.
o Receives and/or gives out Release of Information (ROI) forms, assists visitors and/or callers with the completion of forms or documents.
o Reviews paper and electronic health records (i.e., scanned notes, reports, special tests; etc.) to identify material to be photocopied/printed/written to electronic media and released.
o Ensures the information released is limited to what is specifically authorized and to the person or agency designated to receive it.
o Accurately enters all requests into the RPMS/ROI section with necessary information for each request for health information.
o Monitors requests to ensure validity and processing within required time frames.
o Maintains a record of disclosure of all information released. Responds to requests for emergency medical information from hospitals, doctors, medical examiners, law enforcement agencies and others.
o Reviews all medical information for sensitive elements to ensure release is completed only within the required standards and applicable laws.
o Requests records from other facilities, including Federal Records Centers, as requested.
o Assists the department with data auditing functions in accordance with departmental and facility procedures and practices, including all aspects of entering, abstracting, and auditing of data from EHR, PCC, PMAS, and other RPMS packages. Works with the Information Management (Site Manager) to resolve technical problems.
o The following applications will be utilized; Resource Patient Management Systems (RPMS), Electronic Health Record (EHR), Practice Management Application Suite (PMAS), Vista Imaging (VI), Personal Health Record (PHR) and Direct Messaging.
o Maintains record confidentiality in accordance with the Health Insurance Portability and Accountability Act (HIPAA), Privacy Act of 1974, confidentiality of Alcohol and Drug Abuse Patient Records, Freedom of Information Act and other pertinent federal regulations.
o In the event EHR is not available, PCC’s will be available and shall be audited to ensure data is legible upon return. Refer discrepancies or inconsistencies in the records that involve questions of interpretation of the medical reference of the relationship between diagnosis and treatment to the physician to complete written data for the medical record. Forwards a copy of PCC to Coder and scans original into record.
o Completes all on-boarding requirements and trainings required.
