Summary: Duane Morris LLP is seeking a professional, polished, and dependable Receptionist to join the New York office. This position is responsible for providing daily front desk support and assisting with meeting and event coordination in the firm’s Conference Center.
Key responsibilities include managing incoming calls, responding to emails, booking conference rooms, and coordinating room set-ups, food service, and audio-visual needs for meetings and visiting attorneys. The role also serves as the primary backup for the lead receptionist during breaks, lunches, and absences.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Greet clients, visitors, attorneys, and staff in a courteous and professional manner
- Answer and route incoming calls using a multi-line phone system
- Manage conference room reservations and coordinate meeting logistics as needed
- Maintain a neat and organized reception area
- Assist with maintaining supply of marketing materials
- Assist with visitor registration and security protocols
- Provide consistent backup coverage for the morning receptionist during breaks, lunch hours, PTO, and other absences
- Collaborate with Office Services, Facilities, and Administrative teams to support day-to-day operations
- Perform general administrative tasks and special projects as assigned
QUALIFICATIONS (EXPERIENCE, KNOWLEDGE, SKILLS AND ABILITIES):
- Two to three years of related job experience in a fast paced environment.
- Bilingual fluency in Spanish-English preferred but not necessary.
- Must be able to work effectively in a team environment.
- Proficiency in Outlook, Microsoft Office, and Word.
- Ability to anticipate client and attorney needs to ensure seamless operation of conference center activity.
- Knowledge of New York area, including local restaurants, hotels and cultural attractions.
- Ability to prepare conference rooms and equipment for each meeting in a timely, organized and effective manner.
- Must be a confident, independent thinker with strong problem-solving skills.
- Ability to organize and prioritize numerous tasks and complete them in a timely manner.
- Interpersonal skills necessary in order to communicate and interact with a diverse group of attorneys, staff, and clients, while safeguarding confidentiality.
- Able to lift and move furniture/equipment as needed (up to 25 lbs.).

PAY TYPE : Hourly
ANNUAL PAY RANGE: $45,000-$55,000
Please Note: The hourly and/or annual salary amount is based on a *good faith* compensation analysis in pursuant of New York City Human Rights Law (NYCHRL) listed under *Senate Bill 9457*. Final starting salary/wage is dependent on the candidate’s experience level, industry expertise, skills and other factors that are defined in the job description.
