Dubak Electrical Group is seeking a detail-oriented and organized Human Resources Administrative Assistant to provide essential administrative support to our Human Resources department. This part-time position offers flexible hours Monday through Friday (up to 30 hours per week) and is ideal for someone looking to contribute to a dynamic Human Resources team while maintaining work-life balance. In this role, you will assist with the onboarding and offboarding processes, maintain accurate records, and handle confidential information with professionalism. You will play a key part in ensuring a smooth experience for employees and supporting the overall efficiency of our Human Resources operations.
Key Responsibilities:
- Assist in coordinating onboarding and offboarding, ensuring all necessary documentation is processed.
- Maintain up-to-date employee files, records, and documentation with accuracy.
- Respond to employee and applicant inquiries regarding policies, benefits, and hiring processes, escalating complex questions when needed.
- Ensure the integrity and confidentiality of HR/employment records.
- Conduct periodic audits of HR files to confirm compliance and completeness.
- Provide administrative support, including record updates, filing, and handling correspondence.
- Maintain and update I-9 documentation to ensure regulatory compliance.
- Assist with new hire orientation and distribute onboarding paperwork.
- Set up and maintain new hire files securely, ensuring completeness and confidentiality.
- Support offboarding activities, including processing final paperwork and ensuring compliance.
- Perform other HR-related duties as assigned.
Required Skills & Qualifications:
- Strong verbal and written communication skills.
- Excellent interpersonal skills with the ability to handle sensitive and confidential situations professionally.
- Exceptional organizational skills and attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) or related software.
- Ability to quickly learn and use payroll management, HRIS, and similar HR applications.
- Bilingual in Spanish is preferred.
Education & Experience:
- Associate’s degree in a related field required.
- Prior office or administrative experience in an HR setting preferred.
