What are the responsibilities and job description for the Athletic Director position at Dublin Youth Athletics?
PURPOSE OF POSITION:
To grow and expand the DYA membership; to organize and assist in overseeing and developing all athletic events for DYA and ensure that each DYA program is carried out effectively and efficiently.
SALARY:
Range: $50,000 - $65,000 based on qualifications and experience.
This position reports to the Executive Director.
Primary Duties and Responsibilities:
Program Development and Enhancement
· Collaborate closely with the Executive Director and Program Directors to identify and assess opportunities for program improvement and innovation that align with the mission of Dublin Youth Athletics.
· Conduct research and gather feedback from stakeholders (youth participants, parents, and community members) to ensure programs effectively meet the needs of the youth athletes and enhance overall engagement.
· Support developing and implementing new initiatives or modifications to existing programs, ensuring they provide meaningful, positive experiences for young athletes while fostering personal growth and development.
· Work closely with program directors to provide data-driven recommendations for improving individual and team performance.
Manage Logistics of Athletic Programs
· Achieve membership growth goals established by the DYA Board and the executive director.
· Ensure athletic events are enrolled, organized, and scheduled efficiently and timely.
· Relay information regarding field and road conditions as necessary to ensure safe play and travel for participants.
· Schedule, Re-schedule & communicate events after rainouts and other postponements.
· Collaborate with the Director of Finance, Data, and Compliance to secure facility usage needs.
· Updating game scores to the DYA website.
Assist Program Directors and other Board members with Managing Volunteers
· Assist in the recruitment of new program directors.
· Assist in training/evaluation/selection of coaches for future seasons.
· Serve as the organization’s ombudsman with designated sports programs.
· In collaboration with Program Directors, respond to volunteer disciplinary actions when required.
· Ensure all coaches, officials, and/or adults interacting frequently with DYA participants complete and maintain compliance with state-mandated training (e.g., Concussion, Lindsey's Law, Background checks, Safe Sport).
Organize and conduct the sign-up process for athletic programs & officials
· Recruiting officials for the various sports programs
· Ensure information is available to schools and the public.
· Responsible for promoting DYA program registrations and the grant program via the website, social media, and other means.
· Assist in determining teams and league sizes for programs.
Organize Supervisors of Officials
· Coordinate with directors and supervisors in hiring and training officials to officiate games.
· Schedule clinics for officials to ensure they know the rules and regulations of the various sports activities.
· Assist in scheduling officials’ work assignments as necessary.
· Work with the program directors to finalize/ update the respective rulebooks, maintaining a repository of the final versions season over season.
Other Responsibilities
· Responsible for all Website maintenance and keeping material updated.
· Ensure equipment meets safety standards and is available for every season.
· Work with program directors on uniform selection and coordinate purchasing with the director of finance and data as necessary.
· Address email messages promptly.
· Provide monthly program reports to the Executive Director.
· Oversee and support seasonal interns as needed.
· Coordinate with the Director of Finance and Data, and the City of Dublin to manage out-of-boundary registrations.
· Maintain the technology platform, including operating system patching and database maintenance.
· Assist team with achieving common goals.
· Support team members as a backup when out of the office.
MINIMUM QUALIFICATIONS:
· Must hold a bachelor's degree in a related field or equivalent and have at least two years of related experience or equivalent combination of education and experience.
· Strong organizational skills to effectively manage responsibilities.
· Ability to work independently.
· Ability to work some nights and weekends as needed.
· Strong written and verbal communication skills.
· Proficiency in MS Office programs (Word, Excel), database and web-based programs, and electronic communications.
· Ability to communicate with and relate effectively to diverse groups of people from all community social and economic segments.
· Must complete and pass required background checks upon hire and every two years thereafter.
· Must complete state-mandated concussion training immediately and keep certification current (renews every 3 years).
· Must possess a valid Ohio driver’s license and provide reliable transportation.
· Knowledge of the political landscape and DYA programs is preferred.
· Dublin resident preferred but not required.
