What are the responsibilities and job description for the Legal Administrative Assistant position at Duda Human Resources Team?
The Viera Company (TVC) is looking for a detail-oriented and highly organized Legal Administrative Assistant to support our legal team. This onsite role is essential in keeping operations running smoothly, from coordinating meetings and managing documents to ensuring confidentiality and compliance with legal processes. Job duties include but not limited to:
Provide comprehensive administrative support to the legal department, including calendar management, expense reports, phone call handling, filing, meeting notes, document drafting and review, and coordination of legal document signatures and delivery.
Track and manage community association easements and common area tract conveyances to ensure proper documentation.
Assist in deed preparation and review, contract amendments and extensions, lot transfer documents, and distribution of Notice to Owners, while managing Prohibition of Lien correspondence and coordinating signatures and certified mailings.
Organize new commercial contract working files, ensure contracts are executed and compliant, and track contractual obligations and deadlines, including sending calendar invites based on critical date reviews.
Manage active litigation claims, assist counsel with document preparation, and track certificates of insurance for community associations, tenants, and right of way use agreements.
Oversee legal department’s web-based file management system, digitize historical legal documents, and collaborate on developing an improved filing system.
Handle special projects and assignments, including department reports, file organization, and acting as a liaison between TVC legal department and Viera Builder’s management.
Requirements:
5 years of administrative experience in a fast-paced professional environment.
Proficiency in Microsoft Office Suite, Simplifile e-recording, and Adobe.
Strong discretion and ability to handle confidential and sensitive information with professionalism.
Excellent analytical, organizational, and problem-solving skills, with the ability to prioritize tasks effectively.
Strong written and verbal communication skills, with the ability to collaborate across teams.
