Viera Builders, Inc. has an opening for a full-time hourly paid Sr. Sales Coordinator working in a fast paced, professional environment. The Sr. Sales Coordinator is responsible for supporting Director of Sales, Sales Managers with sales initiatives. Assist in coordination, supervision and completion of special projects. Perform daily and weekly tasks to ensure inventory and website are current.
Duties include:
Provide confidential administrative support for the Director of Sales. Oversee schedule/calendar, create agenda and meeting minutes, screen and handle telephone communications, greet and direct visitors, prepare and submit expense reports, gather data analysis as needed for various reports.
Summarize departmental financials, assist in budget control and 301s, and code invoices for Sales.
Run reports, graph data, prepare PowerPoint slides. Summarize weekly Sales Totals and track Sales Managers monthly Marketing Summaries. Edit Sales Agreements and prepare for DocuSign. Prepare and send buyer notifications for product delays or changes.
Coordinate employee shops. Participate in Monday staff call and facilitate Buyer and Model updates on Teams board. Maintain PTO for Sales Managers, Sales Directory and prepare check requests.
Manage inventory of Open Sales and SPECs for Sales team. Assist with new community kick-offs.
Manage model maintenance, closures, and openings. Coordinate with Warranty and trades to keep models always looking their absolute best. Organize model openings and closings by scheduling movers, designers, trades, etc.
Create social media and website posts related to the sales departments efforts in key areas of importance to buyers in relation to analytics and other reports.
Back-up as needed: Sales Simplicity admin, DocuSign admin, website edits to marketing pages, email blasts to realtors, distribute leads from website, Zillow, BDX, etc. to sales team.
Minimum Qualifications
Associate's degree preferred. A minimum of five years of experience in an administrative support role with three years in Sales, Customer Service and Executive administrative level. Must be proficient in Microsoft Office programs specifically in PowerPoint and Excel. Must have Social Media platform experience as well as Adobe and photoshop. Illustrator preferred. Strong organizational and customer service skills. Strong communication skills, both verbal and written. Professionalism. Attention to detail. Accountability, flexibility and reliability. Strong work ethic. Support oriented.
