Occupational Summary:
The Senior Compliance Program Coordinator will perform compliance intake, operations and other administrative duties to support the response to discrimination, harassment, sexual
misconduct and related retaliation complaints in the Office for Institutional Equity (OIE). The qualified person will report to the Intake and Assessment Manager.
Work Performed:
Intake/Case Data Support (80%)
- Conduct all in-person and the majority of remote intake of reports of discrimination, harassment, sexual misconduct and retaliation from students, staff and faculty in the university and health system.
- Ask relevant questions to assess allegations, issue spot information relevant and within the scope of OIE policies, provide information, create case summaries, draft correspondence, and provide preliminary assessments.
- Provide timely initial response to reports to OIE including reports made over the phone, online, or in-person.
- Conduct appropriate and needed follow-up actions in connection with reports and/or assessments, including to determine relevance to university policies related to discrimination, harassment, sexual misconduct and related retaliation.
- Assist in tracking and ensuring assessment and investigation timelines through meetings with leadership and the investigation team.
- Create and prepare case management data reports for university and health system departments to support the tracking of trends and the preparation of the OIE Annual Report.
- Maintain case management database to ensure accuracy in materials. Assist in compliance case data-entry and input of information relevant to caseload. Assist in maintenance of filing/organizational database systems for all matters related to the policies against discrimination, harassment and related misconduct and alternative resolutions.
- Draft referrals, as necessary, to Personnel Assistance Services (PAS), Faculty Advancement, Human Resources Staff and Labor Relations, Student Affairs Office of Student Conduct, outside counselling services and domestic violence resources, University Police etc., and collaborates with university and health system resources to minimize or resolve concerns.
- Perform benchmarking or other research to support investigations and policy development.
Operations Support (15%)
- Organize and submit investigative packets for compliance hearings, including preparation for Title IX and Title VI hearings, and investigation reports.
- Assist in preparation of party review of evidence and draft investigation reports
- Organize materials for compliance-related education/training, including policies, documents explaining the process, PowerPoint slides, and resource lists.
- As needed, assist in the logistical planning and support for compliance functions and events.
General Administrative Support (5%)
- As needed, assist with office distributions lists, mailing labels, large mailings, etc.
- As needed, provide telephone, scheduling or any other support as needed for all of OIE.
Education and Experience:
Education: Work requires analytical, communications and organizational skills generally
acquired through minimum completion of a bachelor's degree program. Degree in Social Work,
Public Health, Human Services, Counseling, Law or related fields preferred.
Experience: Work generally requires one year of experience in program administration or
involving academic, instructional, intake, assessment, or other similar activities to acquire skills
necessary to implement, coordinate, plan and implement a variety of compliance responsibilities
and duties. OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE
