Overview
We are seeking a highly skilled and experienced Director of Accounting and Administration to lead our accounting department and certain functions of Human Resources . This pivotal role involves overseeing all accounting operations, payroll, employee file management, employee relations and onboarding. The ideal candidate will possess a background in non-profit accounting, employee onboarding and payroll.
ESSENTIAL FUNCTIONS:
1. Work with a third-party provider and provide them with the documentation needed to record and ensure timeliness and accuracy of daily financial transactions, to onboard employees, and to process bi-weekly payroll.
2. Oversee A/R and A/P processes, monthly closing and reporting in accordance with GAAP and industry best practices. Must be comfortable working with payroll and accounting software (ADP Work Force Now preferred) and be able to learn new programs efficiently, as needed.
3. Work with Directors to prepare budgets and forecasts using the accounting software.
4. Work with CFO to provide timely and accurate reports to staff, the Finance Committee, and the Board of Directors.
5. Work with Directors to ensure a timely onboarding process for new employees, that includes: coordinate the schedule for and ensure attendance of new staff at New Employee Orientation, oversee the schedule for CPR/AED training for new staff and for the periodic recertification of current staff in a timely manner; ensure all required paperwork, certifications and training are complete in accordance with Duneland YMCA policy before new employees start work; ensure accuracy of employment information within the payroll software; maintain accurate employee files in compliance with Federal, state and Duneland YMCA standards.
6. Provide insights and recommendations for improvement of the efficiency and effectiveness of internal financial and HR processes.
7. Effectively communicate with leadership and other staff to accomplish the goals established by the Leadership staff and the Board of Directors.
8. Demonstrate excellent problem-solving skills and the ability to multi-task in a dynamic work environment.
9. Maintain confidentiality of all employee and financial records.
10. Provide administrative support to the CFO and other leadership as needed.
11. Hybrid schedule possible.
12. Participate in staff meetings and/or related meetings.
13. Follow emergency procedures and safety precautions. Follow procedures for reporting all accidents, incidents and hazards.
14. Adhere to all policies, rules and regulations as outlined in the Employee Handbook and other communications. Obtain and maintain required trainings.
15. Accept additional assignments as deemed appropriate, within the scope of the job description.
QUALIFICATIONS:
- Degree in accounting and/or HR and demonstrated success in related experience required.
- Experience with Microsoft Office software and ADP payroll software preferred.
- Must be self-motivated, organized, professional and have the ability to work with all levels of staff and leadership.
- CPR, First Aid and AED certifications required within 30 days of hire or present proof of certification.
- Skills in project management preferred.
- Ability to respond to safety and emergency situations.
