The Elementary School Secretary plays a pivotal role in ensuring the smooth and efficient operation of the school office. This individual serves as the primary point of contact for staff, students, parents, and visitors, maintaining a welcoming and professional environment while managing a variety of administrative, clerical, and organizational tasks to support the daily functions of a K-5 elementary school. Key Responsibilities
Administrative Support :
- Manage day-to-day office operations, including answering phones, responding to emails, and handling inquiries from parents, staff, and the community.
- Maintain and update student and staff records, attendance logs, and other essential school documentation.
- Prepare correspondence, newsletters, and other communications as needed by the principal or staff.
Student and Staff Support :
Assist with student attendance by monitoring and recording tardiness, absences, and early dismissals.Support school events, assemblies, and extracurricular activities by coordinating logistics, materials, and communications.Provide assistance to teachers and support staff, including managing supply inventory and ordering materials. Parent and Visitor Interaction :Welcome visitors to the building, verify identification, and ensure adherence to school security protocols.Serve as a liaison between parents and school staff, addressing questions and concerns promptly and professionally.Manage student enrollment, transfer, and withdrawal processes.Parent and Visitor Interaction :

Coordinate the school calendar, scheduling meetings, events, and appointments for the principal and other staff.Oversee and organize mail distribution, deliveries, and office supply inventory.Assist with the management of budgets and financial records, including purchase orders and invoices.Emergency and Safety Support :
Assist with implementing emergency procedures and drills, maintaining accurate student rosters and contact information.Act as a point of contact during emergencies, ensuring timely communication with staff and families.Qualifications
Education and Experience :
High school diploma or equivalent required; post-secondary education or coursework in office management or a related field is preferred.Previous experience in a school or office setting is highly desirable.Skills and Abilities :
Proficient in Microsoft Office Suite, Google Applications, and other relevant software.Strong organizational skills and attention to detail.Excellent communication and interpersonal skills.Ability to prioritize tasks and manage multiple responsibilities in a fast-paced environment.Discretion and professionalism in handling sensitive information.Other Requirements :
