Purpose Statement
The job of the District Office Learning Services Department Assistant/District Office Receptionist is done for the purpose/s of providing support to department activities with specific responsibility for the scheduling and organization of IEP meetings and documents, recording student information, updating and reconciling of fiscal information related to the Transitions Department; addressing transportation issues, maintaining DHS and Medicaid reports, and generating periodic reports in accordance with established financial practices.
Essential Functions
- Assists Transitions Department Chair in scheduling and organizing IEP meetings, parent meetings, and other events as assigned.
- Assists Transitions Department Chair with scheduling, transportation, and logistics related to ESY.
- Assists with Transitions Department needs (supply ordering, copy machine maintenance, etc.) for the purpose of ensuring the effective and efficient functioning of the work unit.
- Collects, processes, and maintains financial information, files and records (e.g. requisitions and reimbursements, supply receipts, budget audits, etc.) for the purpose of providing accurate documentation and compliance with established policies and regulatory guidelines.
- Coordinates set-up and daily transportation needs with staff, parents, and vendors for SPED OSP and Transition OSP, and other transportation duties as required.
- Maintains accurate records (SPED and non-SPED grades and attendance, etc.) for the purpose of documenting activities, providing reference, conveying information, and complying with established financial, legal and/or administrative requirements.
- Assists in the data collection and documentation for student related SPED grants (DHS, Medicaid).
- Supervises front door entrance in compliance with established safety protocols and policies (Raptor, etc.)
- Supports assigned administrative personnel for the purpose of providing assistance with their functions and responsibilities and anticipating their needs.
- Responds to inquiries of parents, students, staff and administration regarding for the purpose of providing information, direction and/or referral for addressing inquiry.
Other Functions
- Participates in unit meetings, in-service training, workshops as requested for the purpose of conveying and/or gathering information required to perform job functions.
- Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.
- Supports the community relations office with mailings and dissemination of information.

SKILLS are required to perform multiple tasks with a potential need to upgrade skills in order to meet changing job conditions. Specific skill based competencies required to satisfactorily perform the functions of the job include: operating standard office equipment; applying district, state and federal policies and regulations; performing standard bookkeeping/accounting procedures; collecting money; customer service; and utilizing pertinent software applications including word processing, spreadsheets and databases.
KNOWLEDGE is required to perform basic math, including calculations using fractions, percents, and/or ratios; read a variety of manuals, write documents following prescribed formats, and/or present information to others; and understand complex, multi-step written and oral instructions. Specific Knowledge based competencies required to satisfactorily perform the functions of the job include: accounting/bookkeeping principles; and Microsoft Office software applications including: Word, Excel, and Access.
ABILITY is required to schedule activities; gather, collate, and/or classify data; and use basic, job-related equipment. Flexibility is required to work with others in a variety of circumstances; work with data utilizing defined but different processes; and operate equipment using defined methods. Working Environment
The usual and customary methods of performing the jobs functions require the following physical demands: some lifting, carrying, pushing, and/or pulling and significant fine finger dexterity. Generally the job requires 80% sitting, 10% walking, and 10% standing. This job is performed in a generally clean and healthy environment.
