A Well established employer in the Wilmington area is seeking to hire a Compliance Administrative Assistant. This role will provide administrative support to the Compliance department, primarily focusing on maintaining compliance records, assisting with audits, scheduling meetings, coordinating training materials, and ensuring adherence to company policies and relevant regulations by performing tasks like file management, and communication with stakeholders, all while acting as a liaison between the compliance team and other departments within the organization.
Key Responsibilities:
· Organize and maintain comprehensive compliance documentation, including contracts, policies, training records, audit reports, and regulatory updates.
· Digitize and electronically file compliance documents according to established procedures.
· Regularly review and update compliance files to ensure accuracy and accessibility.
· Schedule meetings, appointments, and training sessions for the compliance team.
· Coordinate logistics for internal and external compliance audits, including preparing necessary documentation.
· Generate reports and presentations as required.
· Compliance Monitoring and Reporting:
· Track compliance deadlines and follow up on outstanding tasks.
· Monitor compliance-related issues and escalate concerns to the Compliance Officer.
· Assist in preparing compliance reports for management review.
· Communication and Liaison:
· Act as a point of contact for employees seeking information on compliance policies and procedures.
· Collaborate with other departments to ensure compliance across the organization.
· Respond to compliance-related inquiries from internal and external stakeholders.
Required Skills and Qualifications:
- Strong organizational skills with attention to detail and ability to manage multiple tasks efficiently
- Experience supporting a Compliance team is preferred
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Ability to maintain confidentiality and handle sensitive information
- Experience with database management preferred
- Bachelor's degree or equivalent experience in business administration or related field
