Description
Primary Position Objective
To assist the Construction and Project Management Departments in scheduling, coordination with accounting, coordination with HR and Payroll, and weekly and monthly reporting.
Position Responsibilities
- Acts as a liaison and coordinates administrative activities between construction personnel, other departments, customers, vendors, subcontractors, and other parties including regulatory and municipal/state agencies
- Create and format the weekly Work Assignments and distribute the information
- Assists payroll department with data entry and reporting which includes reviewing and correcting data from timesheets
- Assists Human Resources with hiring, orientation, and termination administrative processes
- Assists safety team in administration duties
- Act as the liaison for IT support with external IT Support Service
- Saves and maintains data in company systems
- Interacts in person, via phone and correspondence with Construction Team members, other departments, subcontractors, suppliers, vendors, and regulatory and municipal entities to request or provide information as needed
- Schedule and organize Construction meetings including Supervisor and Forman’s Meetings
- Attend weekly scheduling meeting and communicate the content to construction leaders
- Print, organize, and distribute construction drawings
- Assist the Manager of Construction and Project Management with administrative needs of that Department
- Additional duties as assigned.
Qualifications
- High School diploma or equivalent (GED) required
- Experience in an office environment as an administrator
- Minimum 1-2 years’ project/construction administration experience preferred
- Proficiency in Microsoft Office (Word & Excel)
- Excellent Organizational skills
- Strong verbal and written communication skills
- Must be detailed oriented, punctual, and work well within a team
- Ability to administer several tasks independently and concurrently
- Team player with self-confidence and professional presence
