Job Overview :
We are seeking a highly organized and detail-oriented Marketing Coordinator to assist the Marketing Manager driving key marketing initiatives and supporting the company’s strategic goals. This role is essential in coordinating, executing, and tracking various marketing efforts to strengthen the company’s brand and meet business objectives. This is primarily a computer-based, administrative support role that requires a proactive, detail-focused individual who can juggle multiple tasks, ensure the accuracy of materials, and collaborate effectively across departments.
Responsibilities :
Content Creation and Coordination :
- Assist in the creation of marketing materials (brochures, flyers, business cards, digital content). Keeping materials up to date, fulfilling departmental and branch requests, and developing new resources.
- Coordinate with external vendors for materials, videos, headshots and more.
- Regularly review and update materials to ensure they are current and accurate, including QR codes, logos, and other assets.
Quality Control :
Run spell check and proofread all marketing content to ensure there are no grammar or spelling errors.Submit all new materials and changes to the Marketing Manager for approval before implementationMaintain a high standard of professionalism and attention to detail in all work.Branding and Consistency :
Ensure all marketing materials and content are consistent with the company’s branding guidelines, including logos, fonts, and color schemes.Oversee proper usage and placement of QR codes and ensure they are correctly linked and up to date.Provide support to branches, departments and external vendors to ensure proper and consistent use of the company brand.Project Coordination :
Coordinate the timeline and deliverables for various marketing projects, proposals and other projects ensuring deadlines are met.Collaborate with branches to ensure they have the correct marketing materials and take responsibility for removing any outdated or incorrect content.Event Coordination : Organize and execute marketing events, trade shows and other promotional activities. This will include ordering materials, coordinating logistics, registration, and overseeing post-event follow up.Team Collaboration :
Work respectfully and courteously with all team members and departments to support the company’s marketing strategy.Follow the proper chain of command for all approvals and decisions. Maintain a positive, cooperative attitude, and avoid actions that may create division or discord within the team or other departments.Administrative Support :
Organize and maintain marketing files and databases, ensuring easy access to up-to-date materials.Assist in scheduling meetings, coordinating events, keeping calendars up to date and supporting overall department activities.Keep an updated database of all company resumesCoordinate and maintain the supply ordering platformsEnsure accurate data entry and maintenance of the CRM systemRun reports, compile data and assist with creating proposals, presentations and moreCoordinate inventory of promotional materialsInternal and external communications.Other Duties as Assigned :
Perform additional tasks and responsibilities as requested by management, branches and other departments to support the needs of the department and company.Expectations :

Bachelor’s degree in marketing, communications, or a related field.1-2 years of experience in marketing / administrative or a similar role preferred.Strong writing, editing, and proofreading skills.Proficiency in Microsoft Office Suite and Adobe Creative Cloud.Highly flexible and able to work in a cross-functional, fast-pasted office environment.Ability to balance multiple priorities and complete tasks accurately and on time.Aptitude for using technology and working with CRMs, like DynamicsSelf-starter – able to work independently and as a teamOur full-time benefits include :
