Position: Executive Assistant & Office Coordinator
Location: Boise, Idaho
On-site: 100% on-site
Position Description:
DZYNE has an immediate opening for a talented Executive Assistant & Office Coordinator to join our team. The Executive Assistant & Office Coordinator plays a crucial role in ensuring the smooth operation of executive support, office administration, and facilities coordination. This position provides direct assistance to the executive leadership team, manages office logistics, and facilitates corporate events to create an organized and efficient workplace.
Duties & Responsibilities:
  • Assist the Executive team with day-to-day activities, including meeting scheduling, calendar deconflict, conference room booking, assisting travel arrangements, and producing draft expense reports
  • Maintain records for leadership (recall roster)
  • Arrange travel and accommodations for visitors (interview candidates, key clients, board of directors)
  • Track action items for Operations efforts and communicate to Leadership
General clerical:
  • Receive mail, scan & distribute, and file (AP, state tax docs, bank statements, checks)
  • Request W9 information from new Vendors
  • Obtain and provide Certificates of Insurance upon request
  • Complete forms and track down corporate information as needed
  • Upload HPA Office credit card receipts to Accounting SharePoint site
  • Maintain general office supplies and order/re-order as needed
  • Ensure the Conference room is ready for meetings as needed (including communicating with IT and other teams, as needed)
  • Order breakroom supplies
  • Refrigerator cleaning as needed
  • Ensure breakroom supplies are stocked and clean
  • Support teams during BOD meetings, trainings, tradeshows, demos, interviews
  • Source and procure materials for marketing department trade show materials: product data sheets, banners, apparel, branded giveaways
Facilities support:
  • Liaison with the property manager, janitorial service, delivery personnel, and vendors for office services if specific needs present
  • Anticipate visitor needs (external/internal – a place to sit, communicate with facilities, etc.)
  • Monitor Sign-in log, issue & collect Visitor badges as needed
  • Source and secure corporate rates for lodging
  • Arrange special events as needed
Job Qualifications:
  • High school diploma
  • 3-5 years related experience
  • Expertise in Word, Excel, and PowerPoint
Security Clearance: No security clearance is required. However, it is an essential requirement for the person in this role to be a US person.

Salary: $50,000 – $67,000 annually

Salary depends on relevant work experience, education, training, essential skills, and/or other factors such as specialized or high-demand professions. In addition to the annual salary, the position will be eligible for an annual bonus.
