SUMMARY
This position is responsible for performing various administrative tasks, including but not limited to, directing and coordinating office services and developing processes for maximum efficiency and productivity, generating AR invoices, generating periodic financial reports from within the company’s accounting system, performing routine collection calls, managing records of employee certifications and equipment/assets, processing AP invoices, ordering office supplies as needed, creating shipments, obtaining information from customers and vendors for entry into the ERP, managing purchase orders and reconciling monthly AP accruals, properly handling sensitive and confidential employee information, and other related work as required by the division.
As importantly, this position assists the Division Manager in financial matters related to the operational location. It provides accounting/business acumen and advice to the location as it relates to financial statements, operational reports, and internal office methods and procedures. This position is expected to educate and advise the Division Manager on financial matters to improve decision making and to drive financial improvement at the location.
ESSENTIAL FUNCTIONS

- Processes AP bills for payment using chart of accounts for proper allocation; reconciles purchase orders upon receipt of AP invoice; accrues monthly expenses and purchase orders not yet received or billed for.
- Generates AR invoices and distributes to customers for processing & payment.
- Monitors employee’s hours worked ensuring accuracy and timely submittal for payroll processing; reconciles employee attendance records.
- Requests information from new vendors/customers/subcontractors for processing in ERP system.
- Generates & analyzes financial reports; performs routine collections activity for outstanding receivables.
- Maintains records of assets and completes registration of assets for the division; monitors registrations, keeping current.
- Maintains Driver Qualification files for all employees holding commercial driver’s licenses; maintains DOT maintenance files for company assets.
- Makes travel arrangements for various operational personnel as needed, including but not limited to lodging, rental car, and flight reservations; modifies travel arrangements as needed.
- Performs general administrative tasks, including but not limited to, processing mail, shipping and receiving, supervising and coordinating administrative activities for the division, general office maintenance such as ordering office supplies as needed and maintaining office equipment.
- Maintains a high degree of confidentiality with handling of company information as it relates to banking, customer, and vendor files.
- Maintains a high degree of confidentiality with handling employee information; facilitates multi-step data entry of employee information in various databases, including but not limited to DISA and HRIS software; assists HR department with accuracy and completion of required paperwork.
- Review and analyze monthly financial statements and operational reports with Division Manager
- Identify root causes and provide advice on variances of actual results to budgeted projections
- Analyze project margins and identify sources causing project margin erosion
- Provide financial assistance to Division Manager for decision making in a timely manner
- Improve location’s internal methods and procedures to ensure timely monthly closes and identify other areas to improve process efficiencies
- Performs other tasks and participates in special projects as needed.
REQUIRED EXPERIENCE, KNOWLEDGE, AND SKILLS
COMPETENCIES
- Knowledge of general financial accounting
- Understanding of and ability to adhere to generally acceptable accounting principles
- Excellent verbal and written communication skills
- Extreme capability to maintain and control confidential information
- Exceptional organizational skills and attention to detail
- Highly proficient with accounting software and Office 365 applications
- Other competencies desired include time management, guiding and coaching, problem solving, initiative and leadership, and strong computer literacy
PREFERRED EDUCATION AND EXPERIENCE
- Bachelor’s degree in Accounting, Business, Finance, or related discipline
- Intermediate to advanced level of knowledge with Microsoft Excel functions.
- Experience with FMCSA & PHMSA compliance preferred but not required.
- Experience in construction or related field preferred but not required

POSITION TYPE & EXPECTED HOURS OF WORK
This is a full-time position. Monday through Friday, 8:00 a.m. to 5:00 p.m.
TRAVEL REQUIREMENTS
Travel may be expected for this position from time to time.
