PROJECT / EXECUTIVE ASSISTANT

Eagan Building Group is currently hiring for a full-time Project / Executive Assistant to provide

support to current office staff in project management, estimating, and executive assistance. This

is a new position to aid in our companys continued success and growth.

ABOUT THE POSITION

The Project / Executive Assistant should be an energetic individual who is able to navigate a wide

array of tasks on a daily basis and is process oriented to be able to track progress of tasks through

use of checklists and software.

The responsibilities include, but are not limited to :

Assist project management staff with :

Creation of meeting minutes and agendas. Attend meetings when required.

Submit permit documents to appropriate permit authorities.

Enter and process change orders at direction of project manager.

Procure and track product submittals for project manager approval.

Assemble subcontract agreements for approval by project manager.

Assemble operations & maintenance manuals at conclusion of project.

Assist estimating staff with :

Creation of project files including hard copy and electronic files.

Setup of bid invitations.

Follow up with subcontractors on interest in bidding.

Receive and organize subcontractor proposals as they are submitted.

Enter subcontractor scope of work and pricing into estimate as directed by

estimator.

Edit and proofread proposal template for estimator approval.

Assist company president with :

Scheduling of Meetings with employees and vendors.

Managing calendar to ensure meetings do not overlap.

Book travel when required.

Assist president with completing special projects to improve company processes.

Assist with HR functions such as creating job descriptions, advertising open

positions, interviewing, hiring / onboarding, and terminations.

Preferred Qualifications :

Associates Degree in a related field or equivalent experience

Must possess strong computer skills and be proficient in Microsoft Office Suite

Must be a self-starter with the ability to work autonomously.

Possess highly developed organizational & planning skills, time management skills,

and written / oral communication skills.

Salary : $54,000 - $62,000
