Duties & Responsibilities
Support the contracting process, ensuring client agreements and subcontracts are properly managed from receipt to final execution.Import client contracts into the Contract Lifecycle Management (CLM) platform – Malbek.Perform subcontractor prequalification and annual recertification, maintaining compliance and records.Issue subcontracts as requested by the Operations Team.Maintain and update the CLM database, identifying and correcting missing or incomplete data.Coordinate with internal departments to gather necessary contract documentation for seamless handoff to the Operations Team.Request and track compliant certificates of insurance for contracts and client-requested revisions.Follow up with clients and subcontractors for missing documents to ensure contract completion.Work closely with project managers, assisting in document preparation, scheduling, and contract organization.Ensure compliance with company policies and safety procedures in contract execution and administration.Participate in project review meetings and assist with reporting on contract status.Perform additional administrative tasks as required.Qualifications & Skill
Associate’s Degree or equivalent job-related experience.Minimum of 3 years of administrative experience, preferably in insurance, construction, or legal industries.Strong organizational skills and attention to detail, with the ability to manage multiple administrative tasks efficiently.Proficiency in English (spoken and written) at a professional level.Understanding of legal language or willingness to learn contract-related terminology.Strong written and verbal communication skills.Ability to work independently and adapt to changing priorities.Proficiency in Microsoft Office (Word, Excel, Outlook) and ability to learn new software platforms.Ability to prioritize time-sensitive documents and work with urgency when necessary.High level of confidentiality, discretion, and sound judgment when handling sensitive information.Physical Requirements
