ROLES AND RESPONSIBILITIES
Gift Entry and Processing
- Maintain the integrity of and accuracy of the Raiser’sEdge Database.
- Perform data audits, implement system checks to ensure reliable performance and information available to Advancement Office and Head of School.
- Maintain and perform queries and reports for specific campaigns, regions, funds, etc.
- Ensure donor and gift information is highly accurate, effectively recording and tracking transactions, pledges, and payments.
- Perform Gift Processing, batch entry, gift documentation, and reconciliation with business office as needed.
- Prepare daily gift reporting, regular fund and prospect performance reports, and maintain calendar of pledges/payments/balances.
- Generate timely gift acknowledgement letters in conjunction with Advancement Office staff and relationship managers.
- Manage records for recurring gifts and employee payroll deduction giving.
- Generate and maintain outstanding pledge reports and reminders/calendar.
- Assist in the procurement of prospect research for the Advancement Office and fundraising purposes, including periodic review of data to ensure accuracy.
- Review, revise, and implement best practices within the advancement database.
- Update and maintain alumni and alumni family information and database.
Communications-Content Creation and Outreach
- In coordination with the director of marketing and communications, advancement office, and others, assist in creation and publication of mass and group communications as needed.
- Assist in driving attendance for events, both on-campus and regionally through invitation creation and dissemination, creating invitee lists based on database. information, and accurately recording attendance and relevant event information.
- Other duties as assigned.
Campus Support-Events Management
- Assist Events Coordinator and manage event logistics and execution as needed.
- Procurement of awards, creation of event materials and runs of show, and miscellaneous items as directed.
- In-person support surrounding opening weekend, family weekend, and commencement weekend.
- Attend advisory board meetings as needed.
QUALIFICATIONS
- Collaborative mindset, creativity, and ability to independently manage multiple projects.
- Proficiency with database management and CRM, Raiser’s Edge or similar preferred.
- Experience and mastery of Microsoft Suite (Word, Excel, Access, etc.); familiarity in Adobe Suite (InDesign, Photoshop, etc.) preferred.
- Strong grasp of the role of current and emerging technologies to identify opportunities to improve data-entry efficiency, accuracy, and collaboration.
- Strong interpersonal skills.
