Job Summary
The Executive Assistant coordinates and administers functions relating to the effective and efficient operation of the Leadership Team and Boards of Directors and provides support services to the President/CEO. The Executive Assistant facilitates communication with various stakeholders and provides support for the Boards of Directors, including scheduling regular and special meetings, assisting in the preparation of agendas and meeting materials, and recording and distributing minutes of meetings. This position provides support for selected projects; composes, edits, and produces documents (i.e. reports, executive summaries, etc.); and prepares confidential correspondence. They have a high level of integrity and discretion, along with administrative experience, technical and writing skills, and frequently exercise independent judgment within agreed-upon limits.
Duties/Responsibilities
- Provides support to the President/CEO that includes professional correspondence, telephone calls, emails, scheduling, and other duties as requested.
- Develops (plans, composes, edits, produces, and formats) reports and other documents required by the President/CEO.
- Prepares for and attends Boards of Directors and assigned Board Committee meetings; records and disseminates minutes. Manages and updates the Board Portal Google drive and uploads meeting agendas as well as other documents, information, or announcements as needed.
- Plans, organizes, and facilitates events hosted by Leadership Team.
- Assists the President/CEO in establishing and monitoring reporting systems and procedures, including the reporting systems as they relate to governance of the organization, to ensure programmatic and business operations activities are operating effectively. Assists in the development and utilization of computerized tracking systems, as appropriate.
- Assists the Leadership Team in special projects and assignments as need arises.
Wage Range: $21 - $22 per hour

Qualifications
Qualifications
- Minimum of two (2) years of successful work experience in a comparable position.
- Strong organizational and clerical skills with attention to detail, ability to multi-task, self-motivated, works independently, completes projects and meets deadlines.
- Knowledgeable and skilled in the use of computers and computer software programs such as Microsoft Office, Outlook, Excel, PowerPoint, Publisher, and other software programs.
- Types 50 words per minute
- Must be comfortable utilizing computers and technology and be willing to learn new computer skills and software programs as necessary.
- Experience taking minutes of meetings.
- Strong verbal and written communication skills.
- Excellent interpersonal skills to effectively relate with the public and staff personally and on the telephone.
- Excellent grammar, writing, editing, and proofreading skills.
- Effective and consistent under pressure.
- Professional demeanor in behavior and dress.
- Associate’s degree in business, English, communications, or a related field preferred.
- Experience as an Executive Assistant preferred.
General Skills Requirement
Reading - Ability to read moderately difficult books, manuals, handbooks, emails, policies, procedures, reports, calendars, letters, schedules, etc. written in the English language.
Writing - Using the English language to write simple, compound, and complex sentences with proper formation, punctuation, syntax, spelling, and grammar using all parts of speech.
Speaking - Speak clearly and distinctly with poise using correct English.
Reasoning - Apply principles of rational systems to solve practical problems and deal with a variety of concrete variable situations.
Mathematical - Add, subtract, multiply, and divide all units of measure. Perform arithmetic operations involving all American monetary units.
Technology - Ability to use computer hardware and software to complete job tasks including keyboarding, word processing, spreadsheets, database, data entry, file management, and Windows Explorer.
