DEFINITION:
Under the oversight of the Director of Child & Family Services, responsibilities will include working as a member of an administrative team; performing a variety of administrative and staff support duties which require a range of skills and knowledge of organizational policies and procedures.
ESSENTIAL JOB FUNCTIONS:
Position Responsibilities
- Under minimal supervision, accurately prepare and maintain child attendance records and reports.
- Enter daily attendance and related child/family data into the designated database. Edits and revises data to generate reports as requested, according to established timelines.
- Accurately prepares a variety of child attendance reports for program analysis and projection purposes.
- Coordinate with other administrative staff on attendance issues
- Verifies child absences by contacting parents, staff, or subcontractors.
- Identify patterns of extended absenteeism and report them to the appropriate staff.
- Assist in the enrollment process including but not limited to data entry and data verification
- Receives, verifies, and processes a variety of forms and records for accuracy, completeness, and conformance to applicable rules, regulations, and procedures.
- Ensure compliance with agency policies and/or state attendance regulations.
- Update registration lists, attendance forms, attendance data, emergency forms, etc., for changes in enrollment.
- Type various letters, memos, lists, and forms associated with attendance and/or office functions.
- Provide friendly and helpful assistance to parents and staff regarding attendance inquiries.
- Perform any other duties as assigned by the administration.
- Prepares and distributes form letters to parents and agency partners, notifying them of their child’s absence.
- Distribute data regarding absences to the appropriate department.
- Retrieves and compiles information from manual and automated files for the preparation of routine reports and correspondence regarding attendance.
- Prepares daily, weekly, and/or monthly attendance reports and submits them to designated administrators and/or agency personnel.
- Contact parents to notify them about and determine the reason for the child’s absence.
- Reconciles children added and dropped on a monthly basis.
- Maintains logs and other documentation verifying absences.
- Interprets routine policies and procedures for staff, families, and agency partners.
- Receives, verifies, and processes incoming attendance data from teachers, parents, staff, administration, and other child family services providers.
- Provide assistance and troubleshooting at the site level for attendance data.
Staff Relations
- Assist with breaks and other agency needs as requested.
- Support all staff members in their duties.
- Maintain open and respectful communication with children, staff, and parents.
- Serve on a team of early care and education professionals.
- Work cooperatively with other staff members, accept supervision, and help promote a positive atmosphere.
- Maintain strict confidentiality regarding employed staff.
Family Relations
- Maintain strict confidentiality regarding families enrolled in the Agency.
NOTE: Essential Job Functions may be both on and off-site locations, days and/or evenings, and/or weekends.
MINIMUM QUALIFICATIONS:
- Bilingual/Biliterate ability in English/Spanish.
- In good health and free of active Tuberculosis.
- Must provide a completed Health Screening Report, Immunizations, and Department of Justice clearance prior to employment.
- Keyboarding skills (40 words a minute), computer literacy, and proficiency with various applications such as MS Office, e-mail, and the internet.
- High degree of attention to detail.
REQUIRED SKILLS, KNOWLEDGE, AND ABILITIES:
- Demonstrated effective communication skills and ability to work cooperatively with others.
- Knowledge of Microsoft Office software with the ability to type 35 words a minute to assemble, manipulate, and/or formulate data and/or reports.
- Experience working with a diverse and multicultural population; understanding of problems of varying socioeconomic backgrounds.
- Ability to lift a minimum of 40 pounds, assume postures in low levels to allow physical/visual contact with children, and engage in physical activity with children.
- Ability to see and hear well enough to keep children safe.
- Able to reach a child 20-30 feet away in 30 seconds without danger to the staff person's health.
- The skills and willingness to deal with sensitive family situations in a non-threatening and professional manner.
- Ability to communicate well with adults and children of diverse academic, ethnic, socioeconomic, and cultural backgrounds, including people with disabilities.
- Must be able to work independently without intensive supervision.
- Must be able to balance and prioritize workload and have strong time management skills.
- Records maintenance skills.
- Ability to meet or exceed the company’s attendance and punctuality standards.
DESIRABLE QUALIFICATIONS:
- Knowledge of early childhood education, intervention skills, and community resources.
- Demonstrated successful experience working with community-funded programs.
- Demonstrated understanding of and commitment to the core values of mutual respect, collaboration and service orientation, multiculturalism and diversity, community service, and institutional excellence.
