OBJECTIVE:
Reporting to the Logistics Manager, the Logistics Coordinator will support the Logistics team in all aspects of the transportation of inbound and outbound product. This person will work closely and communicate with the sales, production and shipping/receiving departments.
QUALIFICATIONS:
Education:
- High School diploma
- Post-secondary education in a related field is an asset.
Experience & Skills:
- 2 years prior logistics experience, preferably in the produce industry
- CHEP experience is an asset.
- Proficient in Word/Excel/Outlook and ability to learn in-house programs.
- Strong communication and interpersonal skills (verbal and written), team player.
- Detail oriented and ability to multi-task in a fast-paced environment
- Excellent organizational and time management skills with an ability to respond to urgent matters quickly and work independently
- Must have good judgement skills.
- Flexibility and willingness to work outside of regular working hours.
- Understanding of purchasing and receiving processes is considered an asset.
- Prior experience with in-bound/export customs documentation an asset
PRINCIPAL RESPONSIBILITIES:
- Tracking and tracing of inbound orders, ensuring trucks are onsite, loaded, on route, and during transit.
- Sourcing & obtaining shippers documents once trucks are loaded to verify accuracy of shipment and forward to accounting department.
- Updates computer system and buyers when necessary regarding order discrepancy.
- Ensure all necessary documentation is always provided to carriers for compliance with USA and Canadian import requirements. Work closely with customs brokers to provide any necessary missing documentation.
- Updating buyers, inside sales regarding customs issues that may arise and delay anticipated arrival.
- Monitor loads in transit, troubleshooting and foreseeing any delays in delivery of purchase orders to mitigate any issues (i.e. weather delays, loading delays, highway closures and updating team as necessary)
- Data entry of freight and extra charges within computer system.
- Assigning loads to carriers when needed.
- Maintain logistics department spreadsheets / record keeping / updating all departments when needed.
- Scheduling accurate and on time arrivals / departures of loads.
- Work closely with shipping and receiving coordinator and production to ensure inbound / outbound trucks are scheduled and arriving at appropriate warehouse.
- Prepare and forward bills of lading to carriers when needed.
- Data entry of CHEP pallets and record keeping of movement of CHEP pallets
- Assist with import / export process / customs documentation to ensure compliance with USA, Canada CFIA /FDA regulations for import / export.
- Assist with coordination of customs documents preparation and courier samples.
- Prepare and distribute daily export delivery reports.
- Work closely with warehouse to ensure trucks are arriving in accordance to capacity and mitigate any delays with trucks delivering acting as a liaison between the warehouse and carrier dispatch.
- Assist logistics department with sourcing new carriers when needed.
- Participate in weekend rotation coverage.
- Provide back up for logistics team as required.
