Executive Assistant II
Function :
Under the general direction of the President & CEO, assist with Corporate Governance duties, administrative activity and communication with the governing body.
We are looking for a candidate with :
- At least 3 years executive assistant experience within a banking environment; or a Bachelor’s degree with 3 or more years administrative experience within a banking environment. Experience in preparing Board and Committee minutes.
- Working knowledge of Corporate Governance standards
- Outstanding interpersonal skills needed
- Strong written and verbal communication skills
- Proficient with Microsoft Word, Excel, and PowerPoint
- Able to perform a variety of tasks simultaneously while adhering to deadlines, strong organizational skills and attention to detail
- Ability to maintain confidentiality and data integrity.
- Ability to work additional hours as needed
Essential Job Functions :
Performs various administrative assistant duties such as preparing correspondence, scheduling meetings and managing related records. Coordinates and processes related paperwork to maintain efficient workflow.Maintains knowledge of legislative and regulatory requirements as they relate to area of responsibility including Corporate Governance.Prepares for Board meetings, as needed, in accordance with applicable law, Corporate By-laws and procedures. Prepares and uploads agendas, minutes, and meeting materials in a timely manner for Board member access. Schedules and coordinates Board meetings and communicates with governing bodies as appropriate and in accordance with Corporate By-laws and established procedures.Prepares minutes of Board and Committee meetings in a timely manner working with the Clerk of the Board.Schedules and coordinates various corporate meetings and events as they relate to area of responsibility. Responsible for arranging various employee relations events and communication.Assists in obtaining documentation for Corporate Insurance, Reg O (loans to Executive Officers, Directors, and Other Insiders of the Bank) compliance, Code of Ethics compliance, and general auditor requests in preparation for Audit Committee meetings and working with the Director of Audit.Manages special projects and / or programs, which include conducting research, problem solving and making recommendations for improvement.Prepares and maintains files and records related to division. Ensures all documentation for division is organized according to established procedures. Maintains procedures manual, Board meeting schedules, report time frame schedules, policy presentation schedules, and all other related schedules as applicable to assigned duties.Prepares and monitors Department operating budget. Prepares and processes department invoices.Prepares quarterly Executive Committee Abstracts and Investing Board Report. Prepares confidential reports and various correspondence proficiently by utilizing current technology. Initiates and follows-through on the preparation of corporate press releases.Represents Division as needed by participating in various meetings. Serves as Business Continuity Committee member representing Administration.Conducts department training and maintains necessary records. Maintains Board member education records.Displays high degree of professionalism in order to maintain confidential information with discretion, deals with people tactfully, and helps establish strong relationships and positive communication.Supportive Job Functions :
