Job Overview

We are currently seeking a detail-oriented and proactive Executive & Personal Assistant to provide comprehensive support to our CEO. This pivotal role combines executive administrative responsibilities with personal assistance, catering to a resourceful professional who thrives in dynamic and fast-paced settings. The successful candidate will exhibit discretion, efficiency, and professionalism while managing a variety of tasks.

Key Responsibilities

  • Act as the primary liaison between the CEO and both internal and external stakeholders.
  • Coordinate and manage the CEO's calendar, including scheduling meetings and arranging travel plans.
  • Organize and streamline information flow, ensuring the CEO is apprised of critical matters.
  • Prepare, edit, and maintain correspondence, reports, presentations, and various business documents.
  • Conduct research and compile essential data to facilitate informed decision-making.
  • Oversee personal commitments, such as travel, appointments, and family engagements.
  • Safeguard confidential documents and sensitive information with the utmost security.
  • Assist with financial responsibilities, including processing invoices and monitoring expenses.
  • Enhance communication by coordinating internal announcements, meetings, and events.
  • Document meeting minutes and ensure follow-up on tasks and deadlines.
  • Represent the CEO at meetings or events when required.

Required Skills

  • Proven experience in an Executive Assistant or Personal Assistant role, ideally supporting senior executives.
  • Exceptional organizational capabilities with the aptitude to multitask and prioritize effectively.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and various scheduling/communication tools.
  • Strong discretion and integrity in handling confidential information.
  • High attention to detail along with robust problem-solving skills.
  • Ability to work autonomously and proactively anticipate the CEO's needs.

Qualifications

  • A Bachelor's degree in Business Administration, Communications, or a related field is preferred.
  • Minimum of one year of executive administrative support experience is required.
  • U.S. Citizenship is mandatory for this position.
