Job Summary:
The Billing Coordinator reports to the Practice Manager of the pain clinic and is responsible for the overall administrative billing duties. The incumbent will be the initial point-of-contact for billing questions/concerns and support the front desk staff. The individual will oversee every process from insurance verification and prior authorizations to claim submissions and billing reports. The overall goal of this position is to maximize patient collections and work with the clinic’s third party billing company to maximize billing payments.
The Billing Coordinator will have frequent contact with various individuals, so they must be outgoing, and professional with patients, staff members, and third party affiliates. Effective communication skills are essential. The Billing Coordinator will have to not only understand the various billing and insurance processes, but must communicate and assist patients and staff with billing concerns. The Billing Coordinator is also the subject matter expert to the non-clinical staff and must have a passion for training and development. The Billing Coordinator may, at times, partner with the administrative leadership team with staff concerns, or hiring issues.
Duties/Responsibilities:
Provides functional guidance to the billing process and supports staff to ensure operational efficiency.
Ensures staff is verifying insurance properly as well as conducting timely prior authorizations.
Serves as a subject-matter expert and may train and develop front desk employees, and fills-in when necessary.
Loads medical claims into the system and sends them to the practice’s third party billing team.
Responds to billing requests promptly and provides accurate and timely information.
Pulls patient information from the EMR system, eClinicalWorks, as needed to resolve inquiries or billing issues.
Communicates any billing issues or other concerns to the practice manager and/or managing partner
Sends invoices and financial correspondence to the finance team.
Performs other duties as assigned.
Education and Experience:
Minimum of an Associates’ Degree in Medical Office Administration, but will consider experience in lieu of education.
Two years’ experience in a medical office working with billing and insurance.
Two years’ experience working with electronic medical records systems.
Working knowledge of Microsoft Office Suite applications, such as Word and Excel.
Intermediate bookkeeping and computer skills.

Involves frequent contact with physicians, leadership, and medical office staff.

Requires long periods of standing, walking, and/or sitting down.
Physical activity can be spontaneous and fast-paced regularly.
Must possess sufficient eye-hand coordination/manual dexterity to operate medical and office equipment.
Required normal range of hearing and eyesight to record, prepare, and communicate appropriate reports and evaluations.
Must be able to lift 30 pounds with no assistance.
