The Legal Administrative Assistant provides comprehensive administrative support to the legal team, ensuring efficient and smooth operations. This role involves managing schedules, organizing legal documents, coordinating communications, and maintaining confidentiality in handling sensitive information.
Key Responsibilities:
Administrative Support
- Manage attorneys’ schedules, including setting appointments, coordinating meetings, and arranging travel.
- Prepare and format correspondence, memos, and legal documents.
- Maintain filing systems for both electronic and hard copy documents.
Legal Document Management
- Assist in preparing and proofreading legal documents, such as contracts, agreements, and reports.
- Organize, index, and maintain case files and legal records in contract management system
- Ensure all documents are accurately filed with courts, agencies, or clients in a timely manner.
Communication & Coordination
- Serve as the point of contact for internal and external inquiries related to the legal department.
- Screen and route calls, emails, and correspondence.
- Coordinate with other departments to gather necessary information for legal matters.
Case Support
- Track case deadlines and ensure attorneys are aware of upcoming tasks.
- Assist in trial or hearing preparations, including organizing exhibits and materials.
- Maintain calendars to monitor key legal deadlines and events.
Compliance & Confidentiality
- Ensure compliance with organizational policies and applicable regulations.
- Safeguard confidential and sensitive information.
General Office Duties
- Order office supplies and handle administrative tasks, such as invoicing and expense reporting for the legal team.
- Maintain an organized and efficient workspace.
Qualifications & Skills:
Education:
- High school diploma or equivalent required; associate or bachelor’s degree preferred.
- Certification in legal studies or paralegal training is a plus.
Experience:
- 2 years of experience in an administrative support role, preferably within a legal or corporate environment.
Skills:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with legal terminology and processes is preferred.
- Excellent organizational and multitasking skills.
- Strong written and verbal communication abilities.
- High attention to detail and ability to manage multiple priorities.
- Familiarity with legal management software
Additional Requirements:
- Must be a commissioned Notary Public or willing to obtain certification prior to starting the role.
