East Neck Nursing & Rehabilitation Center is hiring a FT HR Coordinator to join our dynamic team of interdisciplinary professionals. On-the-job training for all HR procedures!
Position Summary:
The primary purposes of your position are to provide assistance to the Administrator of the facility in the completion of specific projects as assigned, to assist in facility compliance with all relevant Federal, State and local laws and regulations, and to complete all human resource functions as outlined below. As the Human Resources Coordinator you are delegated the administrative authority, responsibility, and accountability necessary for carrying out you assigned duties and have the authority to make recommendations as to the hiring, firing, advancement, promotion or other change of status of employees..
Qualifications:
- Must possess, as a minimum, a high school diploma.
- Associates Degree preferred
- Must be able to read, write, speak, and understand the English language.
- Must possess the ability to make independent decisions when circumstances warrant such action.
- Must possess the ability to deal tactfully with personnel, residents, visitors, and the general public.
- Must be calm and level-headed in emergencies.
- Must be well groomed and possess ability to work harmoniously with other personnel.
- Must possess the ability to minimize waste of supplies, misuse of equipment, etc.
- Be able to follow written and oral instructions.
- Must be knowledgeable of micro-computer, data entry, output, etc.
- Must have patience, tact, a cheerful disposition and enthusiasm, as well as must be willing to handle residents, staff, visitors based on whatever maturity level at which they are currently functioning.
- Must not pose a direct threat to the health or safety of other individuals in the workplace.
Administrative Assistant Functions
- Provide general assistance to the Administrator and with special assigned projects as assigned.
- Act as directed by the Administrator in providing support and communication between the Administrator’s office and other departments within the facility.
- Perform general clerical and administrative duties as required or directed by the Administrator, including but not limited to the distribution of facility mail as appropriate..
- Coordinate staff meetings and maintain minutes of meetings as required.
- Schedule and participate in department meetings.
- Participate in safety committee by providing statistics on employee incidents, participate in quality assurance and corporate compliance by providing reports on completion of employee files, staff licenses and certifications, and employee health requirement
Human Resource Functions:
- Work with personnel matters as required. Keep all personnel matters strictly confidential.
- Ensure that all required pre-employment documents are presented and all pre-employment screening is completed, as per policy and procedure, prior to the employment of personnel and that appropriate documentation is filed in the employee’s personnel record in accordance with current regulations mandating such documentation.
- Ensure that all required background checks are completed prior to employee’s date of hire.
- Ensure compliance with state mandated criminal history record check program.
- Ensure compliance with facility policy regarding completion and maintenance of I9 forms.
- Ensure that all required employee information is completed prior to employee attending orientation and being placed on schedule.
- Ensure that all required employee information is entered into SmartLinx as required, including, but not limited to the following: employee contact and picture, emergency contact information, I9 documentation, physical requirements, license and or certification number and expiration dates
- Ensure that all employees are issued a badge ID and are enrolled into SmartLinx time clocks as appropriate.
- Ensure that all employees receive an identification badge to wear at all times.
- Provide payroll with all required employee documents necessary for accurate processing of payroll: new hire/change of status form, W4 and State form, direct deposit or opt out information, copy of social security card.
- Ensure maintenance of employee credentials, licenses, certifications, annual mandatory in services, probationary and annual performance evaluations and annual health requirements as per facility policy and procedure..
- Update all required employee information in Smart Linx.
- Scan all required employee information in Smart Linx, including all termination paperwork
- Process employee’s leaves of absence including, but not limited to, workers compensation, short term disability, family medical leave claims.
- Submit enrollment and terminations, including COBRA notifications as applicable, for all eligible employees for facility medical and dental benefits.
- Submit enrollments for facility sponsored 401k plan, transit benefit as applicable and form 8850.
- Notify payroll, nursing staffing coordinators and/or all appropriate departments of employee changes of status and/or terminations by completing a change of status form.
- Maintain updated employee files with required documents.
- Ensures employees receive appropriate, progressive disciplinary action
- Document employee disciplines, log progressive discipline in employee file and discipline log, forward disciplines to union as appropriate, file disciplines in employee files on a timely basis.
- Monitor applicant tracking in Smartlinx, schedule interviews and follow hiring and onboarding procedures.
- Submit weekly vacancy logs to Cassena Recruiting
- Coordinate facility orientations, including but not limited to, submitting and following up on completion of orientation tracker
- Terminate employment of personnel when necessary, documenting and coordinating such actions with the Administrator and/or the Department Head and completing termination checklist.
- Assist with the resolution of employee complaints, grievances and disputes.
Job Type: Full-time
Pay: $60,000.00 - $65,000.00 per year
