Position Summary: Eastern Illinois University is seeking candidates for a Program Assistant I in the School of Technology (SoT). This position will provide essential administrative and operational support under the direct supervision of the Chair and in collaboration with the Graduate Program Coordinator. The employee in this role will perform office tasks for the graduate programs, manage department-related activities with the SoT Chair, and ensure smooth daily operations by working with the graduate coordinator. The ideal candidate will have a strong grasp of technology-based software systems, office procedures, excellent customer service skills, and the ability to handle confidential information with professionalism.
Essential Duties and Responsibilities:
- Manage prospective student enrollment within the admission system and banner.
- Maintain student records in accordance with the university, college, department and program guidelines.
- Provide administrative assistance for graduate students, including coordinating applications, assisting with admissions processes, and scheduling advising appointments.
- Review transcripts and prepare an evaluation for the Graduate Program Coordinator’s review.
- Perform general office duties, including answering phones, responding to emails and scheduling appointments.
- Serve as the first point of contact for students, offering assistance and directing inquiries as needed.
- Assist with document preparation, including letters, reports, and forms, ensuring all communications are professional and accurate.
- Help organize graduate program events, meetings, and orientations.
- Develop and update key marketing messages and materials for the graduate programs.
- Create and execute action plans, including follow-up reports to assess the effectiveness of SoT and graduate program goals.
- Monitor progress toward recruitment goals.
- Communicate effectively, ensuring messages and requests are forwarded to the appropriate department personnel in a timely manner.
- Performs other duties
Minimum Qualifications: Bachelor’s degree, preferably in technology, higher education, business, marketing, or a related area.
Preferred Qualifications: Master’s degree is preferred.

- Knowledge of principles and processes for providing outstanding customer services.

- Ability to work effectively with staff, the public, and outside constituency groups.

- Ability to supervise students and knowledge of administrative concepts and methods.
- Ability to work independently and exercise judgment in order to be able to analyze and investigate a variety of questions or problems
Work Hours
The core work hours of this position are 8:00 AM to 4:30 PM Monday through Friday. Position occasionally requires work beyond regular office hours
Salary/Pay Rate Range
$18.46/hour - $26.28/hour, commensurate with experience.
