Position Description:
Provides clerical and organizational support to the Business Office Manager with payables, receivables, and data entry. General office skills and relating with the public are part of the daily work environment.
This staff member should present a cheerful and patient disposition, be able to manage several activities at one time, be quick to assist others, and have a reputation for confidentiality. This role requires excellent organizational skills, attention to detail and a high degree of accuracy. This role requires a high level of familiarity with GAAP processes, accounting software (Quickbooks or other), spreadsheets, and word processing software.

Key Responsibilities:
- Data Entry and Preparation of Reports
- Gathers, prepares and enters data, including accounts receivable, accounts payable, miscellaneous income, development income, and report generation.
- Assists the Business Manager with monthly processes.
- Accounts Payable
- Matches packing lists to invoices and processes payments bi-weekly.
- Collects receipts, charges to appropriate accounts, and reconciles credit card statements.
- Prepares and submits accounts payable batches.
- Sends tax exempt information as requested.
- Student Accounts
- Prepares data for generating enrollment contracts each year.
- Bills student accounts for incidental charges such as lunches, field trips, E-term, athletics, etc.
- Communicates with parents regarding any billing concerns as needed.
- Serves as the school clerk/cashier.
- Balances petty cash monthly.
- Prepares money boxes for athletic events, school dramas, etc. as needed.
- Other Duties
- Assists the Business Manager as needed.
- Records mileage on vehicles at the end of month.
- Associates Degree or comparable business office experience.
- At least 2 years business-office related experience.
- Knowledge and experience of relevant software applications, including spreadsheets, word processing, database management, and accounting software.
- Proficient in spelling, punctuation, grammar and proofreading.
- Excellent organizational skills, attention to detail, and a high degree of accuracy.
- Ability to prioritize and handle multiple tasks with little supervision.
- Must be able to maintain confidentiality.
- Must be interested in vocational training and growth as software and protocols change.
