Job Summary
The Eastern Shore of Virginia Historical Society (d/b/a Shore History) is seeking a candidate for the position of Collections Manager. This position involves managing the acquisition, registration, cataloging, environmental control, loan processing, physical and digital record generation, storage maintenance, description, and exhibition of collection pieces. This position will also handle requests for photographic reprints and retrieving materials in response to research requests. They will also be responsible for conferring with the Executive Director on potential incoming donation and loan items. They must have a strong attention to detail, be knowledgeable about collections management and handling, and be able to train and manage volunteers.
General Responsibilities:
· Responsible for the security of artifacts in museum collection and exhibit areas. Performs walk through of exhibit and storage areas to check for security issues including insect/pest presence, environmental concerns such as water leaks, and administrative maintenance of areas. Communicates findings with the Executive Director and performs follow through if necessary work is to be performed.
· Processes, accessions, organizes, describes, digitizes, and stores the museum’s collection in accordance with museum standards and best practices; prepares deeds of gifts and thank you letters.
· Catalogues museum objects using specified process, i.e. cleaning, writing description, numbering object, photographing, and ensuring proper storage of object.
· Works with Executive Director to maintain and update museum’s Collections Policies and Disaster Plan.
· Engages in public outreach through social media, eblasts, website, the Shore History App, and other avenues by highlighting and promoting the collection.
· Prepares facilities for upcoming traveling exhibits. Processes all necessary paperwork related to the exhibits such as condition reports, damage reports, correspondence with lenders, storage paperwork, etc. Schedules volunteers to assist with set up of exhibit.
· Works closely with development of in-house exhibits. Compiles lists for Executive Director and staff of objects and photographs. Compiles historical information on collection objects or photographs for labels or brochures.
· Handles duplication requests from photo collection when required. Makes arrangements for reprints and enlargements and processes necessary paperwork for requests.
· Works closely with the public in regard to requests for information. These requests may include research of local historical collection from newspapers, photographs, maps, etc.
· Processes collection objects for incoming and outgoing loans with outside entities. Assures adherence to approved procedures for check in and out of items. Processes proper paperwork.
· Maintains a complete inventory of museum collection using computer database system, PastPerfect.
· Maintains computer history of collection including movement from temporary and home locations, check out dates and by who, return dates, condition of object, etc.
· Prepares for special events such as exhibit openings, events, programs, etc.
· Other duties necessitated by being part of a small but active staff.
Qualifications:
· Preferred Bachelor's degree in Museum Sciences, Library Sciences, U.S. History, Public History, or a related field with two (2) years experience in a museum setting, or any equivalent combination of education and experience. Must have a creative and self-starting attitude to carry ideas from conception to completion.
· Must have basic computer skills; familiar with Microsoft Office suite, familiarity with Google Drive suite a plus; and must be familiar with PastPerfect Museum Software
· Must be available to work weekends, evenings and holidays as required.
· Grant writing experiences a plus.
Preferred Qualifications:
- Experience working with digitization projects and managing digital collections.
- Familiarity with PastPerfect Museum Software.
